Role Purpose

With OSF and its employees spread across multiple locations, it is essential that standard processes are executed when delivering payroll across multiple jurisdictions. The Associate P&C Officer will work with our payroll outsourced provider to ensure that payroll services are delivered to each location (except the US) in a timely manner compliant with local tax and standards.

Key Responsibilities:

  • Responsible for ensuring accurate data is processed in Workday or the provider’s payroll processing system for the respective locations
  • Responsible for preparing various accounting papers, schedules, exhibits, and summaries for audit and compliance for designated locations
  • Conduct accounts reconciliation with support for the locations under purview
  • Responsible for adhering to the payroll calendar for designated locations and ensuring it is communicated to the employees
  • Responsible for working with the payroll provider and ensuring that labour and tax obligations are fulfilled and OSF is compliant
  • Work with the payroll provider to ensure payroll for the designated locations is delivered efficiently and effectively and as per agreed service level agreements
  • Respond to employee queries in Workday help regarding the payroll /payslips for designated locations within the agreed service level timelines
  • Prepare and maintain FAQ and knowledge articles for Workday Help for payroll and promote employee self-service for basic queries
  • Responsible for working with payroll providers to prepare the year-end reports and audit reports, as required
  • Responsible for ensuring all payroll changes are supported with the required documentation before being processed by the payroll provider
  • Work collaboratively with the Employee Support Centre to ensure payroll changes are entered before the payroll cut-off date and supporting documentation is fulfilled
  • Prepare monthly payroll documentation for signing-off by the Global payroll manager, highlighting the changes
  • Maintain the exception log, documenting retro payments and exceptional adjustments being made to payroll to accommodate special payments not aligned with OSF guidelines

Qualifications:

  • Essential: Educated to degree level, ideally in a related area
  • Desirable: Professional qualification in procurement, facilities management, process improvement or similar

Experience

Essential:

  • Prior experience successfully managing global payroll
  • Effectively manage work with efficiency in a fast-paced environment, troubleshoot and follow initiatives through to completion, with strict deadlines and without loss of attention to detail, budget and reporting
  • Some experience in continuous process improvement techniques

Competencies

  • Understanding of global payroll management principles
  • Good understanding of Workday payroll and other systems
  • Ability to work and manage and work with external payroll providers
  • Ability to conduct internal process audits, taking corrective actions
  • Good understanding of process improvement techniques
  • Ability to analyze big data sets and draw insights to inform management

Languages:

  • An excellent knowledge of English
