Job Title: Assistant Purchasing Manager

Reporting to: Purchasing Manager
Experience: Minimum of 4 years of relevant experience in either food purchasing and/or food supply chain.
Skillset: Essential – high level of proficiency in Microsoft Excel, Word and Outlook.
Job Summary:
Pepe’s Piri Piri (Pepe’s) is the leading Piri Piri chicken franchise in the UK with over 220 franchised stores nationwide. The Assistant Purchasing Manager will be working directly with the Purchasing Manager to ensure the supply chain of products from manufacturers to stores through the Pepe’s Approved Supplier network. They will also be responsible for additional projects on a weekly basis that ensure network compliance with Pepe’s food related systems.
Responsibilities to Include:
- Supply and distribution:
- Take orders from Pepe’s Approved Suppliers and place these with Pepe’s approved manufacturers. Ensure all orders are tracked from request to delivery.
- Ensure invoices have been paid on all Supplier stock requests.
- Review stock levels of Pepe’s Approved Suppliers weekly to ensure they maintain minimum stock levels.
- Create weekly reports to demonstrate stock levels are holding above minimum levels.
- Daily management of the Pepe’s Food Service email box.
- Analyse Pepe’s Approved Suppliers monthly sales reports.
- Check Pepe’s Approved Suppliers ordering portals to ensure only approved products are shown.
- Create monthly reports to show stock levels and order requirements of all Pepe’s manufactured products.
- Place monthly orders for Pepe’s central depot with manufacturers of Pepe’s branded products.
- Analyse weekly stock reports from Pepe’s central depot to ensure minimum stock levels at all times.
- Ensure Pepe’s Approved Suppliers only supply approved ingredients to stores.
- Build a strong working relationship with Pepe’s Approved Suppliers.
- Communicate any changes in store details to relevant suppliers and distributors.
- Manage the application and approval process of any store requests for supply of Pepe’s Approved Products.
- Process any changes in store ownership, informing all stakeholders.
- Assist Pepe’s stores and Franchisees daily with any product or ingredient issues.
- Compliance and Operations:
- Quarterly review of all Pepe’s Approved Products spec sheets.
- Oversee and keep up to date software systems that track and support all Pepe’s Approved Product Nutritional and Allergen Information.
- Ensure all Pepe’s recipes are up to date and stored on approved software systems.
- Assist Area Managers with compliance with Pepe’s food related systems.
- Ensure stores only use Pepe’s approved products and ingredients.
- Maintain and update the Pepe’s Approved Ingredients list.
- Resolve customer queries on technical enquiries related to allergens and nutritional information.
- Draft all memos from Pepe’s Food Service that are sent to Franchisees.
- Team Cover:
- General support as required to the Head Office Operational Team.
