Assistant Operations Manager- Soft Services- 50k+

Central London Based.

Job Description

Operational-

  • Oversee the operations of high-value, complex contracts related to soft services, including cleaning, security, waste management, pest control, and landscaping, ensuring that Service Level Agreements (SLAs) are consistently met.
  • Conduct regular site inspections to evaluate service quality, ensure compliance with operational standards, and identify areas for improvement.
  • Collaborate with service partner teams to proactively address service-related issues and ensure a high standard of service delivery.
  • Lead continuous improvement initiatives aimed at enhancing service quality and operational efficiency.
  • Implement operational strategies under the direction of the Estate Operations Manager to ensure the highest levels of service standards and efficiency.
  • Foster a collaborative "one team" ethos with service partner teams to drive unified performance.

Compliance, Reporting & Data Management

  • Support audit performance results under the guidance of the Estate Operations Manager, Head of Security, and Head of Health & Safety, ensuring adherence to health and safety, environmental, and statutory regulations.
  • Ensure compliance with all relevant UK legislation, including environmental standards and regulations.
  • Review and analyze data to generate operational reports as required, including assessments of service provider performance, operational incidents, and ongoing improvement initiatives.

Finance Administration

  • Assist in monitoring and updating service charge budgets and managing expenditure.
  • Ensure the delivery of cost-effective services without compromising quality.
  • Maintain accurate records for all operational activities, including invoices, maintenance logs, and performance reports.
  • Identify and implement cost-saving opportunities while ensuring service quality is maintained.

Occupier, Stakeholder, and Team Engagement

  • Collaborate closely with the Estate Operations Manager and team members to ensure seamless operations and effective coordination.
  • Engage with occupiers and stakeholders to ensure that their standards and expectations are consistently met.
  • Provide support during peak periods and assist with the coordination of special projects and events.

About you-

Extensive experience in estate and facilities management, with a strong emphasis on full soft service delivery.

In-depth knowledge of managing high-value contracts and supplier relationships, from implementation through to ongoing management.

Exceptional leadership and people management skills, with a proven ability to foster collaboration and teamwork.

Comprehensive understanding of UK Health & Safety regulations and compliance requirements, ensuring adherence to all relevant standards.

Proficient in analysing data and performance metrics to identify opportunities for operational efficiency and service improvements.

Strong communication skills, with a demonstrated ability to engage and manage stakeholders at all levels.

Solid financial acumen, with a track record in budget management, cost control, and driving cost-effective service delivery.

Relevant qualifications in soft service facilities management, health and safety, or a related field (e.g., IOSH certification); an SIA License is highly desirable.
