Job summary

Newcastle Hospitals Ear, Nose and Throat service, incorporating Audiology and Speech and Language Therapy, are looking for a conscientious individual with an enthusiastic outlook to fulfil the role of Apprentice Clinical Administrator. Offering a full, efficient administration and secretarial service to our clinical teams within the department, this role is crucial in ensuring we are able to offer the highest level of patient care and management.

ENT is part of the Surgical and Associated Specialties Board which consists of a range of surgical specialities including Breast, Colorectal, HPB, Vascular, and Urology. The Board are entering an exciting new era for our administration workforce, and we are looking for talented individuals who wish to pursue a career in this area.

Main duties of the job

Working within a team of administrative staff to provide a comprehensive support service to Consultants, Medical Staff and other clinical members of the team e.g. Specialist Nurses, the Apprentice will experience all duties of the Clinical Administrator role, including:

  • Communicating with patients regarding management of appointments and admissions at the request of the clinical team.
  • Co-ordination of patient results/pathway
  • Audio typing and proof reading, ensuring sense check, correct spelling, grammar and punctuation
  • Diary management/Outpatient Clinic co-ordination
  • Answering patient telephone enquiries
  • Updating electronic patient records
  • Booking patient appointments, surgery and making waiting list entries
  • Data entry
  • Other administration duties.
At the same time, the Apprentice will complete a work-related NVQ qualification with Derwentside College. Upon completion of the Apprenticeship qualification at around 15 months, the Apprentice will become a permanent member of the team, and move from the training salary Band 2, to Clinical Administrator at Band 3. The successful candidate will integrate well with the existing teams and demonstrate willingness to learn. Applicants will be reliable whilst having a flexible working approach in supporting systems and their functions. The post holder will have a genuine desire to provide a quality administration service for patients with a clear understanding of patient confidentiality.

Job responsibilities

Throughout the apprenticeship the post holder will gain experience working within a team of administrative staff to provide a comprehensive support service to Consultants, Medical Staff and other clinical members of their team e.g., Specialist Nurses and Therapists. The successful candidate will develop the required skills to communicate with patients regarding appointments and admissions at the request of the medical team. Provide cover for Team Leader within your administration team as required.

Cover Clinical Administrator posts Trust wide as required.

Person Specification

Qualifications & Education

Essential

  • Level 2 qualification in administration or equivalent/relevant experience in administrative role(s) with a view to successful completion of L3 Advanced Apprenticeship in Business Administration in 24 months
  • English qualification at Level 2 (GCSE Grades 9-4 or A*-C, or Functional or Key Skills at Level 2)
  • Maths qualification at Level 1 (GCSE Grades 3-2 or D-F, or Functional or Key Skills at Level 1)
Knowledge & Experience

Desirable

  • Administration/Secretarial experience
  • Working Knowledge of NHS Systems e.g., eRecord, System One
  • Knowledge of medical terminology
Skills & Abilities

Essential

  • IT Skills to include MS Office software packages e.g., Microsoft Word, Excel, Outlook and PowerPoint
  • Keyboard skills including a high standard of word processing skills
  • Excellent communication skills
  • Ability to work with minimal supervision.
  • Ability to manage time effectively and work on own initiative.
  • Ability to accurately input, collate and present information.
  • Understanding of confidentiality
