Senior Administrative Assistant ($31.63-41.39)
Position Summary:
The Senior Administrative Assistant to the SVP of Design plays a pivotal role in coordinating weekly meetings and providing general coordination within the department. Responsibilities include managing appointment scheduling, meeting/event logistics, preparing materials, handling communications, processing expenses, and booking travel arrangements.


Job Duties:

  1. Provide general administrative support for the Design Studio department, coordinating with other departments to include handling calls, preparing agendas, managing schedules.
  2. Create accurate and detailed executive team presentation materials. Collaborate with various sources to ensure cohesive presentations.
  3. Manage presentation materials logistics and department events.
  4. Schedule meetings, coordinate conference room setup and technology requirements. Assist with travel arrangements and expense reports.
  5. Track, distribute, and route documents for approval.
  6. Prepare various communications including presentations, emails, and memos.
  7. Organize and maintain project and department files, process invoices, and manage office supplies.
  8. Support onboarding and setup for new hires.
  9. Coordinate and represent the department in weekly meetings.
  10. Prepare various communications including meeting minutes.
  11. Process expense reports and book travel arrangements.
  12. Other duties as assigned.

Minimum Qualifications / Other Expectations:

  1. Bachelor’s degree preferred or equivalent work experience.
  2. 3-5 years administrative work experience at Sr Administrative Assistant level.
  3. Proficiency in Google Suite, Microsoft Office Suite, and database management.
  4. Ability to communicate clearly and effectively in English both verbally and in writing.
  5. Detail-oriented, organized, managing multiple tasks concurrently.
  6. Organized with proactive problem-solving abilities and a proactive approach to anticipating needs.
  7. Demonstrate initiative, personal awareness, respectful behavior, and integrity; maintain high quality of customer service and leadership.
  8. Occasional travel required.
  9. Regular, consistent, and timely attendance is required.
  10. Clean driving record, valid California driver's license, and valid vehicle insurance.

Compensation:
Base Pay Range: $31.63 - $41.39/hr
Actual placement within this range may vary based upon, but not limited to, relevant experience, time in role, base salary of internal peers, prior performance, business sector, and geographic location. The Company also offers competitive benefits for full-time employees including paid time off, matching 401(k), and health benefits.
