Secretarial Administrative Assistant
Salary: 30,000
Location: London
Full-time, Permanent

A top tier law firm based in London are looking for a Secretarial Administrative Assistant to support fee earners and ensure the smooth operation of the various departments in the Firm.

Please note that this is a full-time Monday to Friday, permanent role and will be expected to work in office.

Main Duties and Responsibilities

This role involves performing various administrative tasks, organising documents, managing schedules and assisting with client communications including:

  1. Opening new client files and assisting with onboarding them by processing Anti-Money Laundering documents
  2. Archiving files online and to external storage
  3. Filing documents in relevant client files and subfolders
  4. Post preparation including incoming and outgoing
  5. Updating case management system
  6. Assist in the drafting and editing of legal documents
  7. Assist with preparing clients bills and completion statements
  8. Digital Dictation (Bighand) occasionally supporting PAs when required
  9. Monitoring money coming in and filling our white slips
  10. Verbally confirming bank details
  11. Attending to clients when they come in to pick up/drop off documents as and when required
  12. Managing fee earners diaries
  13. Basic reception duties when required
  14. Delivering a quality service internally and to clients
  15. Attendance notes/typing up meeting notes
  16. Representing the firm at events
  17. Liaising with Accounts on allocating money e-chits
  18. Prepare and submit HM Land Registry applications, SDLT submissions and searches
  19. Dealing with DocuSign processes
  20. Familiarity with Chat GPT and its limitations

Keys Skills and Attributes

  1. Excellent attention to detail and organisational skills
  2. Proficient in Microsoft office suite
  3. Ability to work in a team
  4. Being adaptive and flexible
  5. Excellent interpersonal skills including a good telephone manner and face to face communication skills
  6. Good grammar and spelling
  7. An interest in client care
  8. Keeping up-to-date with current affairs and UK and Global geo-political issues

Qualifications

  1. Essential: Five GCSEs (or equivalent) at grade 4 or above.
  2. Desirable: Two A levels (or equivalent) at grade C or above.
