Administrative Assistant - Hertfordshire

We are assisting a leading construction and utilities contractor with a strong reputation for delivering high-quality, cost-effective, and sustainable solutions. Due to continued growth, the company is in need of an experienced Administrative Assistant for a long-term contract starting in mid-January 2025. As Administrative Assistant, you will be assisting onsite three times (3) a week by providing essential administrative support to ensure smooth daily operations, coordinate with project teams, and assist in managing documentation and communication for ongoing projects which requires strong multitasking abilities, attention to detail, and familiarity with the utility sector in construction.
Key Responsibilities & Requirements:
- Provide comprehensive administrative support to project teams by managing calendars, scheduling meetings, coordinating appointments, handling incoming calls, emails, and correspondence efficiently and professionally.
- Provide support to the operations team 1-2 days per week, including assistance at project sites and the transportation of light deliveries.
- Prepare, organise, and maintain project documents, contracts, permits, and utility records, ensuring timely submission, filing of project-related documentation, and compliance reports.
- Update and maintain databases and spreadsheets for tracking project progress and budgets.
- Monitor adherence to industry regulations and company policies, assisting with audit preparation.
- Generate regular reports on project performance, resource allocation, and administrative metrics.
- Work closely with various departments to facilitate effective communication and collaboration.
- Act as a central point of contact for administrative inquiries and issue resolution.
- Proven administrative experience, ideally in construction, utilities, or related fields.
- Proficiency in Microsoft Office Word, Excel, PowerPoint, Outlook, and familiarity with project management tools.
- Strong organisational and multitasking skills with attention to detail.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team in a fast-paced environment.
- Familiarity with construction/utility terminology and processes is desirable.
- Full and clean driving licence.
