Team Overview

With more c.140 audit specialists, 8 Partners and strong administrative support, we are one of the largest single office charity teams in the UK. The team audit, advise and support a wide range of sectors within charities and not-for-profit organisations, including but not limited to religious orders, membership bodies, dynamic social enterprises, international NGOs and Arts and Culture charities.

Role Overview

To provide daily, flexible, proactive administrative support across the Charity team.

Duties and Responsibilities
  • Assist the Administration Senior Manager in providing administrative support to the Charity Team, including updating Practice Engine (PE), creating bills and helping with projects.
  • Being responsible for the Admin Inbox, dealing with all tasks such as account amends, formatting documents, dealing with incoming post and other ad-hoc queries.
  • Produce accounts and management reports, which include financial statements, in a timely manner, within agreed timescales, escalating to the Administration Senior Manager where necessary.
  • To sort and organise post on SharePoint, sorting through the originals, taking out cheques/requests from managers/sending on to clients, and ensuring outgoing post is collected.
  • To support all members of the Charity team and provide administrative assistance as necessary.
  • To provide PA cover in the absence of other team administrators.
  • To respect and maintain the confidentiality of the processed material and ensure that any regulations concerning security or confidentiality (such as safeguarding password) are complied with.
  • To take an interest in the operation of the teams so that you are aware of current work being dealt with by Team Members.
  • Take responsibility for developing your skills and abilities.
  • Take responsibility of administration projects, as required by the Administration Senior Manager.
  • Ensure the Charity telephone system is appropriately covered at all times, answering the telephone, transferring calls, and taking detailed messages to pass on in a timely manner. Escalate any issues to the Administration Senior Manager where necessary.
  • Be willing and able to spot areas for improvement and raise these with the Administration Senior Manager.
Skills and Experience
  • 5 GCSE’s grade A-C including English and Maths, or equivalent
  • 3 A-levels (or equivalent – with a minimum of 120 UCAS points)
  • Good use of English grammar
  • Attention to detail
  • Excellent telephone manner and interpersonal communication skills in order to interact professionally with internal and external clients
  • Able to work to deadlines; work well under pressure with the ability to prioritise tasks, work independently, and manage multiple responsibilities.
  • Experience of working in an office
  • Basic MS Office (Word, Excel, Outlook)
  • Team player; proactive; quick learner; flexible, approachable, conscientious; and passionate about a career in administration.
