Job description

Dorset HealthCare University NHS Foundation Trust

The Dorset MSK administration team is currently looking to recruit a receptionist administrator to work 24 hours per week. The role includes dealing with a range of telephone queries, covering reception, arranging appointments on SystmOne, managing patient correspondence, data inputting, and problem-solving. You will need to be highly organized with excellent communication skills and a strong commitment to delivering a customer-focused service. This is a very busy department and you will be required to effectively manage multiple and diverse work streams.

The role will also require travelling to the Prince of Wales Surgery (Frederick Treves House) as and when required to cover reception.

Applications from candidates that require current Skilled worker sponsorship to work in the UK are unfortunately ineligible to apply for this position.

Employment in this post requires a Standard Disclosure and Barring Service (DBS) check, which the Trust will cover the cost of. Applicants who subscribe to the DBS update service are able to present a valid DBS certificate instead of requiring a new check.

Main duties of the job
  1. Covering reception, meet and greet patients, answering telephones, data inputting, downloading worklists from ERS.
  2. Completing clerical and administrative tasks as directed by the line manager.
  3. Dealing with telephone enquiries.
  4. Assisting and directing visitors as required.
  5. Downloading ERS.

Knowledge, skills and training
  • NVQ level 2 or equivalent in office procedures.
  • Ability to prioritise effectively.
  • IT skills - Microsoft office functions.
  • Recent experience of working in a customer-focused role.
  • Recent experience of working in a comparable role.
  • RSA level 2 or equivalent IT skills.
Job Specific
  • Able to perform under pressure.
  • Experience of working in an office environment.
  • Demonstrable skills in written and spoken English, adequate to enable the post holder to carry out the role effectively.
Information and Technology
  • Demonstrable experience of using a range of word processing, spreadsheet, database entry and/or presentation software to RSA 2 or equivalent standard.
  • SystmOne Training.
  • ECDL or other IT qualification.

  • Good written, verbal, and interpersonal communication skills.
