Job description

As part of a collaborative venture between The Christie NHS Foundation Trust and Mid Cheshire NHS Foundation Trust to develop clinic haematology services, The Christie is pleased to be able to offer two fixed term positions for the role of Administration Assistant to work within the service at Leighton Hospital.

Based at the Leighton Hospital site, your role will be responsible for providing a comprehensive administrative service to the secretarial team. You will work alongside a team of administrative staff, Haematology Consultants, Advanced Nurse Practitioners and Clinical Nurse Specialists.

Main duties of the job

We are looking for two Administration Assistants to join the team who are educated to GCSE level or equivalent.

You will have experience of working in an office environment and previous administration experience within the NHS would be advantageous but not essential. You will be proficient in the use of Microsoft Office applications. You will be able to demonstrate excellent communication and interpersonal skills, be able to prioritise your workload and have strong attention to detail and accuracy.

Job responsibilities
  • Provide a comprehensive clerical service to the clinical secretarial team, undertaking duties such as printing correspondence, photocopying, distribution of correspondence and reports according to the requirements of the service.
  • Exchange information with patients and staff, both verbally and in written format.
  • Be able to use the required electronic systems for correspondence, clinic management and the retrieval of results as and when required.
  • Confidently manage incoming email enquiries, sorting these to relevant individuals and providing responses where necessary.
  • Answer incoming telephone calls with appropriate management of the query.
  • Maintain a log of incoming voicemails and directing as appropriate.
  • Maintain confidentiality of information.
  • Assist with the monitoring of standards e.g. benchmarking, audit and assist with the implementation of action plans to improve quality of services.
  • Ensure compliance with Trust policies, procedures and guidelines, taking action/alerting senior management team if practice appears to contravene policy, or if concerned about any aspect of care.
Person Specification
Qualifications
  • ECDL or equivalent.
  • Evidence of further development e.g. A Levels.
Experience
  • Previous office or administration experience.
  • Working within administration in the NHS.
Skills
  • Ability to prioritise and manage own workload.
  • Ability to work as part of a team or individually.
