Job description

MAIN PURPOSE

To assist in the provision of an efficient and effective administrative support service to Shared Legal Services staff including day to day maintenance of financial, computer and other administrative systems.

MAIN DUTIES AND RESPONSIBILITIES

  1. The postholder will work as part of a team to provide administrative and clerical support.
  2. To provide routine clerical support e.g. photocopying, filing, faxing, emailing, typing, telephone answering, message taking, post opening and distribution, resource cataloguing, etc.
  3. To provide routine finance and business support e.g. processing orders, processing invoices, recording financial transactions, paying in cheques, processing training requests, court fees reconciliation, opening, closing, archiving and storing files etc.
  4. Be aware of and comply with Council policies and procedures relating to equalities, diversity, health and safety, site security, confidentiality and data protection, reporting all concerns to an appropriate person.
  5. To input data on an accurate and timely basis, and to be aware both of the performance indicators this data contributes to and of the Council’s Data Quality strategy.
  6. Record new deeds, contracts and similar documentation and retrieving and returning them to the deeds room.
  7. Arrange the sealing of Council documents and to update the register.
  8. Establish constructive relationships and communicate with other agencies/professionals e.g. contractors, clients, Land registry, couriers.
  9. To take minutes at meetings as required and to represent the team at external meetings.
  10. Undertake complex financial administration procedures.
  11. Analyse and evaluate data and information and produce reports, information or data as required.
  12. Operate relevant ICT packages e.g. Microsoft Word, Excel, Access, Outlook, PowerPoint, the legal case management system, internet and intranet.
  13. Complete and submit complex forms, returns etc, including those to outside agencies.
  14. Oversee and support less experienced colleagues e.g. temporary staff, work experience.
  15. Contribute to the planning, development and organization of support service systems, procedures and policies e.g. updating/creating documented administration procedures.
  16. Maintain manual and basic computerized records/management information systems.
  17. Operate standard office equipment e.g. photocopier, PC, printer, fax, binding machine etc.
  18. Arrange orderly and secure storage of supplies (e.g. office stationery supplies and bulk photocopy paper).

Additional Information:

  • £21.50 per hour
  • 35 hours pw
