Responsibilities

  • Supervise Seasonal WNI Drivers and WNI Company Drivers to ensure performance meets company standards.
  • Assign and clearly communicate daily work assignments to drivers, ensuring all tasks are understood.
  • Review Driver Day Sheets daily, ensuring accurate mileage entry and addressing discrepancies in schedules or timesheets, particularly for H2A drivers.
  • Communicate any changes in schedules or duties promptly with drivers.
  • Proactively collaborate with the Transportation Manager to optimize transportation efficiency and ensure seamless coordination of shipments.
  • Complete Mercy Health random pool eligibility for WWNI drivers.
  • Work closely with the Traffic Manager to coordinate schedules for inbound and outbound shipments, shuttle operations, third-party services, and inter-company transportation.
  • Help determine billable rates for third-party trucking services, ensuring accurate invoicing.
  • Foster strong communication with other Willoway departments to ensure transportation needs are met efficiently.

Driver & Equipment Management

  • Oversee the management of the fleet and equipment, ensuring that accurate records are kept, and all necessary maintenance and compliance measures are followed.
  • Ensure rental equipment is properly added to and removed from the insurance plan as needed.

Administrative Tasks

  • Set annual reminders for WNI company DOT physicals for all drivers.
  • Manage third-party hauling by accurately entering details for invoicing.
  • Obtain and ensure compliance with all required trip and fuel permits across states.

Cart Program Management & Recovery

  • Maintain inventory levels to meet operational needs.
  • Utilize the CC Database to build cart recoveries and pre-build runs for the upcoming period.
  • Address annual CC LTA limitations during the off-season, ensuring all logistics are planned accordingly.
  • Review recovery forms, identify discrepancies, and collaborate with the Transportation Manager to resolve issues.
  • Order new carts as necessary.

Regulatory Compliance

IFTA (International Fuel Tax Agreement)

  • Review Trip Cost Reports, fuel usage, and state restrictions to ensure accuracy.
  • Complete annual IFTA license renewals and submit quarterly IFTA reports on time.

DOT (Department of Transportation)

  • Ensure compliance with DOT regulations regarding drivers, including preparation, updates, and ongoing reporting.
  • Maintain oversight of driver files, ensuring updated medical cards and all necessary documentation are in place.
  • Manage vehicle maintenance and ensure timely completion of required DOT inspections.
  • Oversee DOT Number Renewal (MCS 150 Biennial Update) to ensure continued compliance.

Off-Season Tasks (Annual)

  • Renew apportioned plates for applicable tractors.
  • Complete BOC-3 Annual Financial Responsibility form and request the Certificate of Liability Insurance from the insurance company.
  • Run queries for alcohol and drug testing compliance on registered drivers.
  • Obtain necessary Oversize/Overweight permits.
  • Complete Unified Carrier Registration (UCR) and Erie County weight permits.
  • Organize and lead Annual Drivers Meetings.
  • File Heavy Highway Vehicle Use Tax annually.
  • Serve as a backup for the Clerk and Transportation Manager in their absence, ensuring continuity of operations.

Additional Responsibilities

  • Foster a culture of safety at all levels of the company by continuously creating, improving, implementing, and enforcing safety policies and procedures.
  • Lead by example with the Winning with Accountability mindset (Clarity, Specificity, Ownership, Sharing). Hold all direct reports accountable for meeting expectations and timelines.
  • Communicate effectively and establish credibility throughout the organization on GGOB principles and open book management. Coach direct reports on financial literacy, strategic direction of the company. Continue to develop a positive culture.
  • Develop, build, and support internal and external Brand Harmony creating the ultimate customer experience at every touchpoint. Conduct annual performance reviews for all direct report employees.

Language Skills

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.

Mathematical Skills

Ability to calculate figures and amounts such as discounts, interest, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Work Environment

Office 100%

Work Schedule

Schedule start and stop times will vary based on season. Summer and Fall: 40-50 hours per week; Winter: about 40 hours per week; Average hours worked per year: 2200.

Salary: $50,000 - $60,000 based on experience.

Qualifications

Education

Bachelors or better.

Experience

3 years: Bachelor’s degree (B.A.) from four-year college or university; and/or 3-5 years related experience and/or training; or equivalent combination of education and experience.

• Working knowledge of Microsoft Office • Filemaker/Great Plains knowledge preferred • Effective problem solving
