Overview

We are looking for a driven, eager-to-learn Resource Specialist to support the Resource Manager in managing the creative resourcing needs of a 70-person Brand Advertising team. This team produces highly acclaimed 360 campaigns, from award-winning TV spots to digital, social, and brand activations across 20+ clients.

This is a hands-on, collaborative role with a strong mentorship component, offering the opportunity to grow into a larger resourcing leadership position. The Resource Specialist will assist in resource allocation, administrative tasks, and award submission support, ensuring that creative teams are set up for success. Additionally, this role will provide coverage during the Resource Manager’s absence and support process implementation and resourcing status calls.

Responsibilities

  1. Creative Resourcing Support & Allocation
    Assist the Resource Manager in assigning the right creatives to the right projects based on skill set, availability, and business needs.
    Track team workloads, capacity, and shifting project demands to ensure smooth operations.
    Work closely with Project Managers, Account Leads, and Creatives to understand ongoing and upcoming resourcing needs.
  2. Award Submission Support & Organization
    Coordinate and track award submissions, ensuring deadlines and requirements are met.
    Partner with the Creative, Production, and Strategy teams to compile and submit materials for industry awards.
    Maintain an organized award submission calendar and ensure all assets are properly archived.
  3. Process Implementation & Administrative Support
    Assist with resourcing process improvements, documentation, and best practice implementation.
    Support in leading and organizing weekly resourcing status calls, ensuring clear communication across teams.
    Manage and maintain resourcing reports, utilization tracking, and administrative tasks to support team efficiency.
    Step in for the Resource Manager during vacations and absences, ensuring seamless resourcing operations.
    Gain mentorship from senior leadership and develop resourcing expertise within a high-performing creative team.
    Be a key part of a growing department with opportunities for career progression in creative operations and resource management.

Qualifications

  1. A Resource Management Enthusiast – 2+ years of experience in creative resourcing, project coordination, or operations within an agency or creative environment.
  2. A Highly Organized, Detail-Oriented Professional – You thrive in fast-paced, multi-client environments and keep workflows on track.
  3. A Strong Communicator & Collaborator – You work well with Resource Managers, Project Managers, Account Leads, and Creatives, ensuring smooth team coordination.
  4. A Quick Learner with a Growth Mindset – You’re eager to learn from senior leadership, take on responsibility, and grow within resourcing and creative operations.
  5. An Award Submission Pro (or Willing to Learn) – You understand the importance of award recognition and are excited to support top-tier creative submissions.
  6. Tech-Savvy – Experience with resourcing or project management tools (e.g., Float, Smartsheet) is a plus.
