Job Title: Remote Office Manager (100% Work From Home)

Location: Remote from Latin America

Position Type: Full-time

Salary: $1,800 USD monthly

Schedule: Full-time position with a weekly rotational schedule, requiring morning, mid-morning, and evening shifts, with weekend availability mandatory.

Job Overview: We are seeking a highly organized and dynamic Office Manager to oversee the daily operations of our client's travel agency. The ideal candidate will be responsible for tracking all incoming and existing tasks, managing a team of travel professionals, and ensuring the agency operates efficiently and maintains a high standard of professionalism. This role requires adaptability to a rotational schedule, including morning, mid-morning, and evening shifts, as well as weekend availability to meet the demands of their clients and business.

Responsibilities:

  • Operational Oversight: Manage the day-to-day operations of the travel agency, ensuring seamless coordination of tasks such as booking travel arrangements, responding to client inquiries, and processing payments.
  • Task Management: Monitor and prioritize all incoming and existing tasks, delegating responsibilities to team members to meet deadlines and maintain workflow efficiency.
  • Team Leadership: Supervise, motivate, and support a team of travel agents and administrative staff, fostering a collaborative and professional work environment. Conduct training sessions and performance evaluations as needed.
  • Client Service Excellence: Ensure exceptional customer service by addressing client needs, resolving issues promptly, and maintaining clear communication with both staff and clients.
  • Financial Coordination: Oversee basic financial tasks, including invoicing, expense tracking, and budget monitoring, in collaboration with the accounting team.
  • Schedule Management: Coordinate staff schedules to accommodate a weekly rotational shift system (morning, mid-morning, and evening shifts) and ensure coverage during weekends and peak travel seasons.
  • Process Optimization: Identify opportunities to streamline operations, implement efficient procedures, and leverage technology to enhance productivity and client satisfaction.
  • Vendor Relations: Liaise with travel suppliers, vendors, and partners to secure competitive rates and maintain strong professional relationships.
  • Compliance & Record-Keeping: Ensure all agency activities comply with industry regulations and maintain accurate records of bookings, client interactions, and team performance.

Qualifications, Skills, and Key Competencies:

  • Experience: Minimum of 3-5 years of experience in office management, preferably within the travel, tourism, or hospitality industry. Prior supervisory experience is highly desirable.
  • Education: Bachelor’s degree in Business Administration, Hospitality, Tourism, or a related field preferred; equivalent experience will be considered.
  • Skills:
    • Exceptional organizational and multitasking abilities.
    • Strong leadership and team management skills.
    • Excellent verbal and written communication skills.
    • Proficiency in office software (e.g., Microsoft Office Suite) and travel booking systems (e.g., Amadeus, Sabre, or similar).
    • Problem-solving skills with a proactive approach to challenges.
    • Knowledge of travel industry trends, destinations, and customer service best practices.
  • Availability: Ability to work a flexible, rotational schedule, including morning, mid-morning and evening shifts, with mandatory weekend availability.
  • Personal Attributes: Detail-oriented, adaptable, customer-focused, and able to thrive in a fast-paced environment.
