Key Responsibilities
  1. Administrative Support:
    • Manage and organize the President's personal schedule, including setting appointments and making travel arrangements.
    • Screen and direct phone calls, emails, and other forms of communication related to the President's personal affairs.
    • Maintain accurate records, files, and documents, ensuring confidentiality and easy accessibility.
  2. Calendar and Task Management:
    • Plan, organize, and prioritize the daily, weekly, and monthly personal schedules, adjusting for urgent or unforeseen tasks.
    • Coordinate with other departments or individuals to arrange meetings, ensuring that agendas and supporting documents are prepared in advance.
  3. Travel Coordination:
    • Arrange domestic and international travel plans, including flights, accommodations, transportation, and itineraries.
    • Prepare travel expense reports and manage reimbursement processes.
  4. Event Planning and Coordination:
    • Assist in organizing the President's family events, including booking venues, arranging catering, and managing guest lists.
    • Coordinate logistics, including AV equipment, seating arrangements, and on-site support.
  5. Personal Errands:
    • Perform personal tasks for the President and President's close family members, such as making reservations, managing household tasks, and running errands as needed.
  6. Home and Property Management:
    • Coordinate with general helpers at home, ensuring smooth operations of household activities.
    • Liaise with drivers and oversee the management of family vehicles, including registration, maintenance schedules, and repairs.
    • Supervise some house maintenance and upgrades, ensuring projects are completed efficiently and on budget.
    • Submit expenses for reimbursement and assist with budgeting for personal and household-related costs.
  7. Guest Relations:
    • Greet guests and visitors to the home with warmth and professionalism, ensuring a pleasant experience.
    • Assist in the coordination of guest needs and provide support during family gatherings and events.
  8. Pet Care (if applicable):
    • Assist with pet-related tasks, including pet care, feeding, and organizing pet services.
    • Must be comfortable around pets and able to handle their needs as required.
Skills and Qualifications:
  • Education: High school diploma required; Associate’s or Bachelor’s degree preferred.
  • Experience: Prior experience as a Personal Assistant, Executive Assistant, or in an administrative role is advantageous.
  • Technical Skills: Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other office software; familiarity with scheduling and travel management software is beneficial.
  • Organizational Skills: Ability to prioritize tasks, manage time efficiently, and handle multiple responsibilities under pressure.
  • Communication Skills: Excellent verbal and written communication skills with a professional demeanor in all interactions.
  • Problem-Solving: Strong analytical and decision-making abilities, with a proactive approach to anticipating needs.
  • Confidentiality: High level of discretion and ability to maintain confidentiality on sensitive matters.
  • Pet-Friendly: Must be a pet lover, comfortable assisting with pet care and related responsibilities.
  • Language: Bilingual in English and Mandarin is preferred.
