Job Title: Medical Program Manager

Department: Family Wellness

Reports To: Assistant Vice President, Family Wellness

FLSA Status: Exempt

Salary Range: Starting at $100,000

Position Summary: The Medical Program Manager provides oversight for all Medical Coordinators within the ORR Family Wellness programs. This role ensures high-quality healthcare services for minors by training and auditing Medical Coordinators, maintaining communication with the Division of Health for Unaccompanied Children (DHUC), and ensuring compliance with all relevant policies and regulations. Additionally, the Medical Program Manager coordinates resources to assist minors aging out of care with obtaining medical insurance.

Essential Duties and Responsibilities:

  1. Leadership and Oversight:
  • Supervise and support Medical Coordinators across ORR Family Wellness programs.
  • Provide ongoing guidance and mentorship to ensure consistent and effective performance.
  • Training and Development:
    • Develop and deliver comprehensive training programs for Medical Coordinators.
    • Ensure staff are knowledgeable about policies, procedures, and best practices in medical care and compliance.
  • File Auditing and Compliance:
    • Audit medical records and files maintained by Medical Coordinators to ensure accuracy and compliance with ORR, state, and federal regulations.
    • Provide feedback and corrective action plans as needed to address discrepancies.
  • Communication and Collaboration:
    • Serve as the primary liaison between Medical Coordinators and the Division of Health for Unaccompanied Children (DHUC).
    • Communicate regularly with internal and external stakeholders to address healthcare-related matters.
  • Medical Insurance Coordination:
    • Act as a resource to connect minors aging out of care with appropriate medical insurance options.
    • Provide guidance and support to ensure a smooth transition to independent healthcare coverage.
  • Program Coordination:
    • Develop and implement strategies to enhance the delivery of medical services within the Family Wellness programs.
    • Collaborate with Program Directors and other leadership to align medical services with overall program goals.
  • Reporting and Documentation:
    • Prepare detailed reports and updates on medical program performance.
    • Maintain accurate documentation of audits, training, and communications.
  • Additional Responsibilities:
    • Stay current on medical policies, licensing requirements, and best practices to ensure program excellence.
    • Perform other related duties as assigned.

    Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.     • 4+ years of working in a healthcare facility setting.
    • 4+ years’ working experience with children and families.

    Education/Experience: Associate's degree or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.

    Associate degree. Certified Medical Assistant (MA), Licensed Vocational Nurse (LVN), Registered Nurse (RN), Bachelor of Science in Nursing license (BSN) and two to four years’ experience working with children and families in a healthcare setting.

    Ability:

    Bilingual in Spanish.

    Read, analyze and interpret business, professional, technical or governmental documents. Write reports, business correspondence and procedure manuals. Effectively present information and respond to questions from managers, customers and the public.

    Mathematical Ability:

    Add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Compute rate, ratio and percent, and draw and interpret bar graphs.

    Reasoning Ability:

    Solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

    Computer Skills:

    • Proficiency in MS Office (Word, Excel, Outlook).
    • Proficient in the use of standard office equipment.

    Supervisory Responsibilities: Directly supervises employees in the Department. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Supervise, coach, and mentor staff providing guidance to their work and learning including, when necessary, corrective/disciplinary action in a timely and professional manner.
