YOUR ROLE

As the Office Manager in our Real Estate department, you will play a crucial role in maintaining efficient day-to-day office/facilities operations and supporting the logistics team in delivering services to our clients (approx. 1380). You will play a key role in coordinating our Office management function at a global level.

WHAT ARE YOU GOING TO DO?

  1. Office administration: Oversee general office operations including managing office supplies, equipment, business cars and facilities; coordinate and schedule meetings, conferences, and appointments and client visits in tandem with the operation; maintain a tidy and organized office space conducive to productivity.
  2. Logistics Support: Collaborate with logistics teams to ensure seamless coordination between office and operations; assist in the documentation and processing of paperwork as per the Ceva processes; maintain accurate records of shipments, deliveries, and inventory.
  3. Communication and coordination: Serve as a liaison between different departments within the company; communicate with clients, suppliers, and vendors to facilitate smooth logistics operations; respond promptly to internal and external enquiries; respond to and address employee concerns or requests related to facilities; communicate important updates and changes in facilities policies or procedures.
  4. Financial Administration: Assist in managing budgetary responsibilities related to office expenses; process invoices and ensure timely payments to vendors.
  5. HR Support: Assist in onboarding new employees and support HR processes; maintain employee records and assist in HR-related tasks.
  6. Facility Management Support: Oversee day-to-day operations of the office, ensuring a clean, safe, and efficient working environment; coordinate with facilities staff to address maintenance and repair needs promptly; manage office supplies, equipment, and furniture inventory; work closely with department heads to optimize office space utilization; plan and coordinate office layouts and relocations as needed; collaborate with facilities teams to implement space-related improvements.
  7. Vendor Management (Office Management): Liaise with vendors and service providers to ensure the timely delivery of facilities-related services; manage contracts and agreements with external suppliers; obtain quotes and proposals for facility-related projects.

WHAT ARE WE LOOKING FOR?

  1. Proven experience as an Office Manager or in a similar administrative role (minimum 3 to 4 years).
  2. Excellent organizational and multitasking abilities.
  3. Proficient in office software (e.g., MS Office, Excel).
  4. Strong communication and interpersonal skills.
  5. Attention to detail and problem-solving skills.
  6. Client-oriented.
