Information

Position: Executive Assistant (EA)
Contract type: Permanent/CDI
Status: ETAM / Non-executive
Grade: Support Level
Location: 43 Avenue de l'Opera, 75002 Paris
Hybrid arrangement: 4 days in the office, 1 day remote

Responsibilities

  • Full diary management for junior and senior professionals
  • Schedule meetings, conference calls, and video conferences both internally and externally
  • Arranging international and domestic travel (flights, hotels, cars etc.) via the company travel partner
  • Assisting in preparation and printing of presentations & proposals
  • Completing corporate card expenses and out-of-pocket expenses via the Workday system
  • Telephone and email coverage
  • Procuring stationery and other office supplies
  • Archiving, filing, scanning and printing documents
  • Occasional administrative assistance for colleagues from other office locations when they visit the Paris office
  • Occasional cover for Support Team members’ administrative tasks, for example in cases of short-term leave or illness
  • Various team support tasks such as reception of guests at the Temasek office, interactions with office suppliers, booking meeting rooms and upkeep of internal files
  • Support of special projects like team offsites, office events, advisory board meetings, recruitment efforts, communication events and institutional relationship building
  • General ad-hoc office duties

Requirements

  • 5-8 years of EA experience, ideally within the Financial Services industry or in a fast-paced international work environment
  • Experience working for a global team, including an appreciation of cultural differences, and efficiency working across different time zones
  • Proficient in Advanced MS Office including Word, MS Outlook, Excel, and PowerPoint
  • Must be a team player with a proactive attitude, take initiative and be able to work with limited supervision
  • Able to work in a fast-paced environment
  • Excellent verbal and written communication skills at all levels with perfect bilingual proficiency in English and French
  • Ability to handle multiple tasks and competing priorities, often with tight deadlines
  • Knowledge of Workday for processing expenses is a plus
