Job Title
Common accountabilities:
- Works within defined processes or methodologies and may help determine the appropriate approach for new assignments. Takes a broad perspective to problems and identifies new, less obvious solutions.
- Receives instructions and guidance from manager or supervisor and performs moderately complex and varied tasks with a moderate degree of supervision.
- May have specialized external certification and/or job-related training and work experience.
Specific accountabilities:
- Performs operational tasks requiring specialised knowledge of the assigned functional area and associated tools.
- Provides assistance and answers functional questions asked by internal/external clients.
- Collects information and prepares correspondence, reports, presentations, agendas, minutes, status reports and documentation associated with the functional activities.
- Ensures the organisation, maintenance and accessibility of functional area documentation and reports.
- Participates in specific projects requiring functional area knowledge.
- Provides administrative support to managers and/or teams (reporting, event organisation, travel) and coordination of teams of the organisation.
- Handles supervisor’s agenda and ensures that the supervisor is always attainable and that all pertinent issues are dealt with in a timely fashion.
- Receives, screens and directs Supervisor's incoming calls, mail and e-mail.
- Organizes and coordinates Staff briefing / Events / Meetings.
- Follows up administrative requests (travel, expenses, absence) and approves requests within delegated authorities.
- Follows up services requests.
- Greets and escorts visitors and guests.
- Organises office allocation and equipment for newcomers and internal moves. Checks that the offices set up are appropriate and that office equipment is properly configured, installed and maintained.
- Maintains necessary office supplies for supervisor/group supported.
