The principal responsibility of this position is to provide administrative support to the Managing Director and the Vice Presidents.
This person will be dealing with internal (General Management, Accounting, and Communication) and external stakeholders daily, and communication is in French and English.
Main Responsibilities
Administrative support
- Strategically and proactively handling calendar, scheduling and coordinating internal and external meetings for Managing Director and VP team (organizing Steer Committee meetings)
- Managing teams' calendars and contact details through Outlook
- Coordinating breakfast, team lunch, snack orders, and scheduling on-site meetings rooms
- Managing expenses with banks and the accounting service
- Routinely analyzing existing workflows and procedures to identify opportunities for further optimization or automation, updating files and Outlook contacts
- Document creation (Microsoft Word, Excel, and PowerPoint)
- Providing general administrative support as requested (assist with incoming phone calls, binding documents, moderate copying/filing/faxes, etc.).
- Maintaining confidentiality of all sensitive and confidential issues
Accounting
- Managing purchasing requisitions, and placing events for orders
- Timely completion of online expense forms, track reimbursements and ensure correct coding is applied according to the appropriate entity
Travel
- Working with full-service corporate travel agent to coordinate extensive executive travel
- Organizing and coordinating travel logistics including flights, ground transportation, preparing agenda, and accommodations.
- Handling the visa process for every business trip
Culture
- Planning and executing events (e.g. conventions, conferences, etc.) and department level offsites (typically up to 30 attendees) throughout the year. This includes date and venue selection along with catering and team activities.
This position is part of the Managing Director Team and reports directly to the Global Offices Services Assistant, based in Levallois-Perret.
