Status: ETAM / Non-executive
Hybrid arrangement: 4 days in the office, 1 day remote
Responsibilities
Full diary management for junior and senior professionals
Schedule meetings, conference calls, and video conferences both internally and externally
Arranging international and domestic travel (flights, hotels, cars etc.) via the company travel partner
Assisting in preparation and printing of presentations & proposals
Completing corporate card expenses and out-of-pocket expenses via the Workday system
Telephone and email coverage
Procuring stationery and other office supplies
Archiving, filing, scanning and printing documents
Occasional administrative assistance for colleagues from other office locations when they visit the Paris office
Occasional cover for Support Team members’ administrative tasks, for example in cases of short-term leave or illness
Various team support tasks such as reception of guests at the Temasek office, interactions with office suppliers, booking meeting rooms and upkeep of internal files
Support of special projects like team offsites, office events, advisory board meetings, recruitment efforts, communication events and institutional relationship building
Requirements
5-8 years of EA experience, ideally within the Financial Services industry or in a fast-paced international work environment
Experience working for a global team, including an appreciation of cultural differences, and efficiency working across different time zones
Proficient in Advanced MS Office including Word, MS Outlook, Excel, and PowerPoint
Must be a team player with a proactive attitude, take initiative and be able to work with limited supervision
Able to work in a fast-paced environment
Excellent verbal and written communication skills at all levels with perfect bilingual proficiency in English and French
Ability to handle multiple tasks and competing priorities, often with tight deadlines
Knowledge of Workday for processing expenses is a plus
