Job Description
We’re seeking a highly organized and bilingual (English/French) Executive Assistant to provide crucial support to our client’s leadership team. In this role, you’ll manage a diverse range of tasks, from scheduling and email management to coordinating travel and providing administrative support to multiple team members. Responsibilities
- Expertly manage the executive’s calendar, coordinating both personal and professional appointments with precision and discretion
- Handle email correspondence efficiently, ensuring timely responses and appropriate prioritization
- Provide comprehensive administrative support to multiple team members, adapting to various needs and work styles
- Coordinate travel arrangements, including bookings, itineraries, and expense management
- Organize and prepare materials for meetings, presentations, and other important events
- Manage confidential information with the utmost discretion and professionalism
- Assist in streamlining processes and implementing new systems to improve overall efficiency
- Act as a liaison between the executive and internal/external stakeholders, maintaining positive relationships
Requirements
- Fluency in both English and French, with excellent written and verbal communication skills in both languages
- Proven experience as an Executive Assistant or in a similar high-level administrative role
- Exceptional organizational skills with a keen eye for detail and the ability to manage multiple priorities simultaneously
- Proficiency in Microsoft Office Suite and comfort with learning new software and tools as needed
- Strong problem-solving skills and the ability to take initiative in a fast-paced environment
- Experience working remotely and managing time effectively without direct supervision
- Excellent interpersonal skills with the ability to interact professionally with all levels of management and external contacts
- Flexibility to occasionally adjust working hours to accommodate urgent tasks or time-sensitive matters
- Bachelor’s degree preferred, but equivalent experience will be considered
