Job Title : Office Administration Assistant – Construction Industry

Employment Type : Full-Time

Company Overview :

We are a well-established construction company in Ottawa, Ontario, specializing in commercial & residential. As we continue to grow, we are looking to add an experienced and proactive Office Administration Assistant to our team. This role is essential to ensuring the smooth operation of our office and supporting the team with day-to-day administrative tasks.

Position Overview :

The Office Administration Assistant will be responsible for a wide range of administrative functions to support our construction projects and operations. This role requires someone with a minimum of 1 year of experience in the construction industry, along with strong organizational and communication skills. You will work closely with project managers, field teams, and senior leadership to ensure that our office functions efficiently and effectively.

Key Responsibilities :

  • Perform general administrative duties, including answering phone calls, handling emails, and managing correspondence.
  • Maintain and organize project documentation, including contracts, schedules, and billing records reporting to the Project Manager.
  • Coordinate meetings and maintain calendars for leadership team.
  • Handle invoicing, purchase orders, and other financial documentation.
  • Liaise with subcontractors, vendors, and clients to facilitate smooth project workflows.
  • Ensure compliance with safety regulations and company policies.
  • Assist with human resources functions, such as tracking timecards and assisting with payroll.
  • Perform other administrative duties as needed.

Qualifications :

  • Minimum of 1 year of experience in an office administrative role, ideally within the construction industry.
  • Knowledge of construction terminology, processes, and documentation.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Quick Books.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills, both written and verbal.
  • Ability to multitask and manage competing priorities in a fast-paced environment.
  • Strong problem-solving skills and ability to work independently as well as part of a team.
  • A positive, can-do attitude and strong customer service skills.
