Job Title : Sales Support Administrator - Quote Processing

About Us :
Our client, a leading software engineering company, is looking for a detail-oriented and proactive Administrator to support our team in managing and preparing quotes for clients. The successful candidate will be the key point of contact between our client-facing teams and the internal teams who generate the products, helping ensure accuracy and timely delivery of quotes. This is a 12-month contract position.
Key Responsibilities :
- Prepare and Process Quotes: Compile quotes by working closely with the client-facing teams and internal departments to ensure accuracy and meet deadlines.
- Client Liaison: Communicate effectively with internal teams and external clients to clarify requirements and answer any queries related to quotes.
- Documentation: Ensure all quotes, contracts, and relevant documentation are accurately recorded and filed for easy access.
- Collaboration with Teams: Work closely with internal departments (e.g., product, sales, and procurement teams) to gather the necessary information for quote generation.
- Reporting and Analysis: Track quotes, monitor progress, and ensure follow-ups are performed in a timely manner. Assist with reporting on the status of quotes and conversions.
- Utilize Software Tools: Use Excel to create and manage quote templates, track data, and perform basic analysis. Utilize PowerPoint for preparing and presenting information, especially when explaining quotes to clients or colleagues.
- Communication: Use strong communication skills to ensure clarity and precision in written and verbal interactions with both internal and external stakeholders.
- Multilingual Support: If applicable, assist clients in multiple languages when communicating and finalizing quotes.
Skills and Qualifications :
- Experience: Previous experience in an administrative or coordinator role, ideally within a client-facing or project-based environment.
- Technical Skills: Proficient in Microsoft PowerPoint for creating presentations and visualizing data. Familiarity with CRM or other quote-related software is a plus.
- Language Skills: Proficiency in English and ideally one or more additional languages. (Please specify which languages are desirable, e.g., Spanish, French, German).
- Communication: Excellent verbal and written communication skills, with a high attention to detail.
- Organizational Skills: Strong organizational and time-management skills, with the ability to prioritize and manage multiple tasks simultaneously.
- Problem-Solving: Ability to troubleshoot issues and find efficient solutions to problems that may arise during the quote preparation process.
Additional Desired Skills :
- Experience in quote generation, sales support, or similar administrative functions.
- Attention to Detail: Strong ability to manage complex data and ensure accuracy in quotes and documentation.
- Team Collaboration: Able to work collaboratively with various teams, including clients, sales, product, and procurement.
