About the Role

We are seeking an experienced, highly organized, and proactive Executive Assistant to support our Chief Financial Officer (CFO) who also serves as Director of our Parent and Portfolio Companies. This role will involve assisting with a variety of board and executive level administrative tasks, project coordination, and financial operations, while maintaining absolute confidentiality and discretion in all matters. The ideal candidate will be an experienced self-starter, able to manage competing priorities, and thrive in a dynamic work environment.

Key Responsibilities

  1. Executive Support: Manage and maintain the CFO’s calendar, scheduling meetings, appointments, lunches, dinners, political events and travel arrangements. Act as the main point of contact for internal and external communications with the CFO, which will include Law Firms, Accounting Firms, Government Entities, Financial Institutions, Banks along with many internal touch points including the Office of the CEO, Human Resources, Recruiting, and Customer Service. Coordinate logistics for travel, meetings, and events, ensuring all details are handled promptly and professionally along with specific daily agendas to be reviewed.
  2. Human Resources & Employee Support: Assist with the onboarding process for new hires, including preparation of HR contracts and documentation. Support the relocation process for new or existing employees, coordinating housing, transportation, and other logistics as needed. Handle confidential employee information with the utmost discretion and professionalism.
  3. Financial & Administrative Support: Help prepare financial reports, presentations, and key documents for meetings, including gathering and organizing relevant data. Track and manage financial documents, including invoices, receipts, and expense reports, ensuring they are processed and filed appropriately. Assist with financial planning, forecasting, and budget preparation as needed.
  4. Project Coordination: Provide support for strategic initiatives and special projects, assisting with research, data collection, and document preparation. Help manage deadlines, track progress, and coordinate tasks across departments as required.
  5. Communication & Liaison: Serve as the point of contact between the CFO and internal/external stakeholders, ensuring smooth communication and follow-up on key action items. Draft and proofread emails, memos, and other correspondence on behalf of the CFO.
  6. Other Duties as Assigned: Handle ad-hoc requests, from organizing meetings with high-level executives to assisting with personal errands as needed. Ensure all tasks are completed in a timely, efficient manner, maintaining high standards of quality.

Qualifications

  1. Education: Bachelor’s degree in administration, psychology, business, finance, or a related field (preferred).
  2. Experience: Minimum of 3 years’ experience as an executive assistant, preferably in a financial or corporate environment working with C-Level Executives.
  3. Skills: Bilingual English and Spanish both spoken and written. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, and familiarity with financial software. Strong organizational skills with the ability to prioritize and manage multiple tasks in a fast-paced environment. Excellent written and verbal communication skills, with attention to detail. Ability to handle confidential information with discretion. Strong problem-solving and critical-thinking abilities.
  4. Attributes: Highly motivated, self-starter with a proactive attitude and the ability to anticipate the needs of the CFO. Exceptional time-management skills with the ability to balance competing priorities. A strong sense of professionalism, with a calm and composed demeanor under pressure. Team-oriented, adaptable, and comfortable working in a collaborative, high-energy environment.
