About the Role

We are seeking an organized and enthusiastic Team Assistant to support our fast-paced and dynamic team. The ideal candidate will be proactive, detail-oriented, and eager to contribute to the team’s success. A can-do attitude, strong team spirit, and willingness to take on varied tasks are essential for this role.

Key Responsibilities

  1. Supporting the Executive Assistant (EA) team with:
    1. Managing emails and calendars.
    2. Booking meetings, venues, flights, and hotels.
    3. Completing expense reports for Managing Directors (MDs).
    4. Submitting weekly timesheets for MDs.
  2. Assisting the wider team with:
    1. General office tasks such as filing, printing, binding, scanning, and data entry.
    2. Supporting the onboarding process for new staff members.
    3. Improving and maintaining storage and retrieval systems.
    4. Providing clerical support for ad hoc duties and projects.
  3. Covering for EA team members during holidays and absences.
  4. Setting up rooms for meetings, arranging catering, and clearing rooms after use.
  5. Greeting guests and offering refreshments.
  6. Handling video conferencing and audio-visual (AV) equipment, assisting with technical queries.
  7. Monitoring and replenishing office supplies as needed.

Requirements

  1. Strong listening and communication skills.
  2. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  3. High level of professionalism in all interactions.
  4. Excellent time management, organization, and prioritization skills.
  5. Strong attention to detail.
  6. Proactive and eager to learn.
  7. Ability to work independently as well as within a team.
  8. No previous experience needed.
