JOB MISSION
We are seeking an experienced external freelance Event Planner who is passionate about promoting inclusion and has expertise in organizing large-scale events. As the Event Planner for the Conecta Migrants and Refugees program, you will be responsible for planning and coordinating all aspects of the program's launch events, ensuring seamless execution and a memorable experience for all participants. The duration of the position is 3 months with possible renewal for future events in the program. The first event will happen during September simultaneously in three different locations (Spain, Italy, and South Africa) where the program is being developed.
ROLE & CONTRIBUTIONS
- Conduct research to identify suitable suppliers and venues for event requirements in each country.
- Liaise with the program director and local teams to understand specific event needs and effectively communicate them to suppliers.
- Request quotations from suppliers to establish realistic event budgets.
- Create comprehensive comparative tables to assist in decision-making regarding suppliers and event arrangements.
- Manage event budgets, including fixed costs, variable costs, and taxes, ensuring financial efficiency and accountability.
- Possess knowledge of online purchasing tools to efficiently search for flights, book reservations, purchase materials, and arrange shipping.
- Effectively manage resources, including personnel, money, time, and services, to ensure smooth event operations.
- Maintain excellent communication with the Conecta Migrants and Refugees team, ensuring all stakeholders are informed and aligned throughout the event planning process.
- Coordinate teams and establish contact with suppliers to guarantee timely event setup and execution.
- Possess knowledge of promotional and advertising materials for event setup, dressing, and decor, ensuring alignment with the program's design and image.
REQUIREMENTS
- Proven experience as an event planner, preferably in managing large-scale programs or conferences.
- Excellent communication and interpersonal skills to effectively collaborate with diverse stakeholders.
- Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment.
- Demonstrated ability to work remotely and independently, maintaining high levels of productivity and motivation.
- Proficiency in data and information management, with a keen eye for detail and accuracy.
- Experience in budgeting and financial management, including handling invoices and tracking expenses.
- Ability to proactively solve problems and make critical decisions while adhering to timelines and budget constraints.
- Familiarity with online purchasing tools, flight search engines, and logistics management systems.
- Knowledge of promotional and advertising materials, with a creative flair in design and image selection.
- Fluency in English.
- Proficiency in Spanish, and/or Italian.
