The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf.
Responsibilities
Assist the CEO's calendar, scheduling meetings, and coordinating with portfolio companies, and external stakeholders.
Handle travel arrangements, including booking flights, accommodations, and preparing detailed itineraries for the CEO.
Maintain accurate and up-to-date records and documentation.
Proactively address and manage unexpected situations, ensuring minimal disruption to the workflow.
Collaborate with various departments to support projects and initiatives as needed.
Anticipate administrative needs and address issues before they arise.
Draft slides, meeting notes and documents for executives.
Qualifications
Proficient in Microsoft Office suite.
Strong communication skills in English and Spanish, both written and verbal.
Proven experience as an Executive Assistant, Personal Assistant or administrative roles, preferably in a fast-paced environment.
Excellent organizational and multitasking skills, with the ability to prioritize tasks effectively.
High attention to detail and ability to handle sensitive information with discretion.
