One of our partners is a mobile game development company specializing in strategy and city-builder games. Their flagship free-to-play game has just launched, with more exciting levels in the pipeline for both iOS and Android platforms. Their team of 30 passionate gamers is dedicated to creating immersive gaming experiences that captivate players worldwide.
Role Overview :
They are seeking a dynamic Office Manager to join their team on a part-time basis. This role is ideal for someone who thrives in a fast-paced environment and enjoys managing multiple responsibilities—from ensuring the office operates smoothly to assisting managers and handling basic accounting tasks.
Key Responsibilities :
Office Management :
Monitor petty cash for unforeseen expenses.
Ensure supplies are stocked and equipment is well-maintained.
Liaise with service providers, including utilities, cleaning crews, and maintenance teams.
Develop procedures and guidelines as necessary.
Maintain databases, update paperwork, and manage both physical and electronic filing systems.
Coordinate with the catering company to provide lunch boxes for the team.
Organize events such as pizza lunches, beer evenings, birthday celebrations, and restaurant outings.
Handle other miscellaneous tasks to ensure the office functions efficiently.
Personal Assistant to Managers :
Communicate with banks (currently with Santander).
Manage correspondence with governmental administrations.
Organize travel arrangements, including accommodations and reservations.
Assist non-Spanish employees with localization support coordinating with our partners.
Prepare travel expense reports.
Accounting / Payroll Coordination :
On the 25th of each month (or the preceding day if it falls on a weekend), submit any sick leaves, vacations, or other issues affecting payroll to the accounting / payroll services provider, Leialta.
Provide petty cash statements.
Regularly submit invoices and receipts to Leialta.
Share any documents (contracts, legal papers, etc.) that could impact payroll / accounting.
Keep the internal cash flow statement updated for managers.
Qualifications :
Language Skills : Fluent in Spanish (mandatory) and proficient in English.
Experience : Previous experience in office management, administrative support, or accounting roles is advantageous.
Organizational Skills : Ability to multitask and prioritize tasks effectively.
Communication : Strong verbal and written communication skills.
Tech-Savvy : Comfortable using standard office software and tools.
Interpersonal Skills : A team player with a proactive attitude and strong problem-solving abilities.
