Job Description:

The Office Manager / Facility Manager is responsible for ensuring the smooth operation of the office and maintaining a well-organized, safe, and efficient work environment. This role involves overseeing office administration, managing facilities, coordinating with vendors, and supporting employees to enhance workplace productivity and comfort.

Key Responsibilities:

Office Management:

  1. Oversee the day-to-day office operations to ensure efficiency and effectiveness.
  2. Manage office supplies, equipment, and inventory.
  3. Coordinate office layouts and seating arrangements.
  4. Supervise administrative staff, reception, and cleaning personnel (if applicable).
  5. Organize company events, meetings, and travel arrangements.

Facility Management:

  1. Ensure the maintenance and functionality of office facilities, including utilities, security, and IT infrastructure.
  2. Manage relationships with external vendors (cleaning, security, maintenance, etc.).
  3. Handle office lease agreements and liaise with landlords or property management.
  4. Oversee health and safety compliance, including fire safety regulations.

Finance & Budgeting:

  1. Monitor office-related expenses and manage facility budgets.
  2. Negotiate contracts with service providers to optimize costs.
  3. Ensure timely payment of invoices related to office services and facilities.

Workplace & Employee Support:

  1. Create a comfortable and productive work environment for employees.
  2. Support onboarding of new employees with office access, equipment, and workspace setup.
  3. Address employee concerns related to office facilities and administration.
  4. Implement sustainability initiatives to improve workplace efficiency.
