About This Position
The Office in Europe is looking for a dynamic, resourceful and reliable Administrative Coordinator to join our team. As Administrative Coordinator, you will provide administrative and operational support to the Representative and the rest of the team.
You will work in the Office in Europe, part of the Global Partnerships Office (GPS). This team is responsible for strategic outreach and engagement, partnership building, and mobilization of financial and non-financial resources with existing and potential partners in Europe to support the Group’s development activities in Latin America and the Caribbean (LAC) in line with the IDB Group’s strategies and priorities through close coordination with IDB Group’s operational and corporate units and ASI, GCM, and REM teams.
EUR, in collaboration with REM and other units, focuses on strengthening alliances with the IDB Group's 16 European member countries, Israel, the European Union, and key European-based partners across the public, private, academic, and non-governmental sectors.
What you’ll do
- Provide support to the Representative in day-to-day activities, organize and maintain the Representative’s agenda, and prepare necessary documentation for business meetings.
- Responsible for the general management of the Office and fulfillment of daily administrative duties (visitor hospitality, contact and database management).
- Support the team in the preparation of travel arrangements and travel expenses according to Bank’s policies.
- Maintain the condition of the office facilities, coordinate with the maintenance team, and arrange for necessary repairs.
- Assist in the preparation, editing, and finalization of formal letters and any other official communications prepared by EUR’s office.
- Provide support for the preparation and logistical planning of a wide variety of events, including conferences, internal meetings, seminars, and missions organized by EUR’s office.
- Perform accounting functions that include processing invoices and payments as well as processing Purchasing Card transactions and handling the purchasing of supplies for the office.
- Participate in all budget-related activities in the Front Office, working hand in hand with GPS RPA and the Representative, including processing HR and Procurement contracts, as well as planning and execution of knowledge and learning activities.
- Support in all IT-related issues at EUR office.
- Carry out any other duties according to skills and experience as required.
What you'll need- Education: Bachelor’s degree in any area related to Business Management, International Relations, or Law.
- Experience: A minimum of two years of relevant professional experience.
- Languages: Proficiency in Spanish and English (oral and written). Proficiency in an additional official Bank language (Portuguese and French) and/or other European language is a plus.
Requirements- Citizenship: You are either a citizen of Spain or a citizen of one of our 48-member countries with residency or legal permit to work in Spain.
- Consanguinity: You have no family members (up to the fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB, IDB Invest, or IDB Lab.
Type of contract and duration- National consultant Full-Time, 12 months (up to 36 months).
