Key Responsibilities

Customer Service & Communication

  1. Act as the primary point of contact for homeowners regarding warranty claims and service requests.
  2. Communicate professionally and promptly with homeowners, subcontractors, and internal teams.
  3. Educate homeowners on warranty coverage, home maintenance expectations, and next steps throughout the service process.

Warranty Claims Management

  1. Receive, process, and document all warranty claims in line with company policies.
  2. Schedule and coordinate repairs with homeowners, subcontractors, and internal team members.
  3. Follow up to ensure timely completion of work orders and homeowner satisfaction.
  4. Collaborate with internal teams to resolve issues efficiently.
  5. Communicate issues to the Warranty Manager and coordinate subcontractor assessments and repairs.
  6. Track and report on subcontractor performance and response times.

Documentation & Reporting

  1. Maintain accurate records of all claims, service requests, and completed repairs.
  2. Prepare regular reports outlining warranty trends, recurring issues, and vendor performance.
  3. Ensure all processes meet warranty compliance standards.

Quality Assurance & Process Improvement

  1. Identify recurring construction issues and share feedback with the Quality Assurance and Customer Service teams.
  2. Contribute to continuous improvement efforts and process optimization.
  3. Develop templates and responses for frequently asked homeowner questions.

Qualifications

As the ideal candidate, you have experience in a customer-facing role within the residential construction or service industry. You’re a natural communicator with a calm, empathetic approach and the ability to manage sensitive conversations with confidence. You bring a strong understanding of home construction processes and warranty procedures or are eager to learn. Proficiency in Microsoft Office is required, and experience with warranty management software is considered an asset. You’re highly organized, detail-oriented, and solutions-focused, always striving to create a positive homeowner experience while improving internal processes.
