Job description

The West Vancouver Community Arts Council (WVCAC), established in 1968, is a not-for-profit organization with a mission to increase and broaden the opportunities for West Vancouver and all North Shore citizens to enjoy and participate in cultural activities; deliver visual, literary and performing arts programs; foster interest in our diverse cultural heritage; and promote the many talented individuals living and working in our community. The WVCAC operates the Silk Purse Arts Centre, a waterfront art gallery and performance venue that is open to the public free of charge, Wednesday through Sunday.

The WVCAC is seeking an enthusiastic individual to join our staff as the part-time Volunteer & Art Box Coordinator. This position works directly with volunteers from recruitment to orientation to scheduling to thank-you events; works with the Art Box Assistant to procure original items from local Artisans for the Art Box gift store & November Holiday Market; responsible for overseeing sales, tracking inventory and reporting quarterly commissions.
The position is for 12 hours per week: Tuesdays, Fridays and Sundays, 12:30 – 4:30pm.

Responsibilities:

Volunteer Coordinator
• Assist with volunteer coordination including recruitment, orientation & scheduling;
• Maintain updated Volunteer Manual & volunteer job descriptions;
• Prepare monthly Volunteer Notes providing an update of exhibitions, events, etc.;
• Organize & attend Volunteer ‘Information Events’ with Gallery & Events Assistant prior to each art exhibition;
• Organize & attend Volunteer Thank-you event taking place annually in June;
• Update volunteer information in Wild Apricot database system.

Art Box Coordinator
• In collaboration with the Gallery Manager and Art Box Assistant, procure and manage the intake of items for the Art Box, our gallery gift store, and the Holiday Market;
• Oversee the display of items in collaboration with the Art Box Assistant;
• Track sales inventory and provide quarterly summary reports to the bookkeeper for preparation of artisan commission cheques.

Other
• Be familiar with Gallery activities including opening and closing procedures;
• Assist with other administrative duties as needed.

Qualifications:

The ideal candidate will have:
• A genuine interest in the arts, culture and community engagement;
• Knowledge of current trends, resources and information related to volunteerism;
• Strong interpersonal skills and be comfortable working with a wide age range of volunteers from teens to seniors;
• Experience working with the public and creating a welcoming, inclusive space for volunteers and visitors;
• Clear communication skills in writing and in conversation;
• Strong organization, time management, and creative problem-solving skills with an eye for detail;
• Ability to work both independently and collaboratively in a team environment;
• Sales experience an asset;
• Computer literacy with comfort using Microsoft Office Suite; ability to learn a new database system (Wild Apricot).
