Established in 1986 as a resource centre for dance in British Columbia, The Dance Centre offers a range of activities which is unparalleled in Canadian dance. We present performances and events, building audiences and nurturing public awareness; invest in programs, resources and support for dance professionals working in all genres; operate Scotiabank Dance Centre, a cultural hub and one of Canada’s flagship dance facilities which welcomes tens of thousands of visitors annually; and work to promote BC dance.

We are located on the traditional, ancestral, and unceded territories of the xwməθkwəy’əm (Musqueam), Skwxwú7mesh (Squamish), and Səl’ílwəta?/Selilwitulh (Tsleil- Waututh) Nations.

Reporting to the Executive Director (ED), the Venue and Services Manager addresses the needs of the facility, and provides essential services which support The Dance Centre’s role as an internationally recognized centre for dance.

This is a full-time position with a flexible schedule of 40 hours/week (excluding statutory holidays). It is an in-person position, with very limited ability to work remotely, and requires some evening and weekend shifts. This job is for a person that loves to excel and enjoys working in a dynamic and diverse environment dedicated to community service. You are passionate about the arts and curious at heart.

The Venue and Services Manager is critical to the successful operations of Scotiabank Dance Centre. You ensure that day-to-day operations run smoothly, working with other members of the team.

Reporting to the ED, you provide leadership to the team you supervise (Visitor Services Associates, Front of House Managers), work with the on-site property manager team, follow through on contractor and supplier related matters, and ensure effective implementation of procedures and policies, and that resources are in place to support the delivery of programs and services to a diverse membership and client base.

Though the scope of this position is broad, The Dance Centre accommodates work arrangements to ensure that employees are able to accomplish their work while maintaining their personal obligations and interests outside of their careers.

Responsibilities:

Responsibilities include the following areas:

  1. Venue:
    • Oversees venue rentals (full cycle) and is the system administrator for the facility booking database (EventPro); plans/delivers all aspects of event rentals, working closely with vendors and associated venue team members;
    • Oversees Front of House (FOH) and Visitor Services Associates (recruit, train, manage);
    • Oversees the implementation of safety and emergency procedures; liaises with office tenants regarding maintenance, security, and service issues; is one of the representatives for ActSafe;
    • Liaises with the Technical Director (TD) to ensure client needs are met and billings are accurate;
    • Liaises with the property management company and contractors as required; works closely with the ED regarding facility upkeep budget allocations;
    • Works closely with the Comptroller on invoicing, contracts, payables, banking, and cheque runs; and resolves concerns with tenants/renters regarding facility/accounts;
    • Works with Marketing and Programming departments to ensure venue signage is in good condition and updated as necessary.
  2. Administration/Office:
    • Provides data, analysis, reporting as periodically requested by the ED;
    • Ensures efficient office filings; and that office supplies are in stock;
    • Assists with IT related matters; and ensures that office equipment is maintained;
    • Functions as the primary contact for contractors, vendors, staff and tenants.
  3. Financial Responsibility:
    • Tracks time off (vacation, sick leave, bonuses, time off in lieu) and overtime of venue-related staff;
    • Stewards invoices, accounts receivables/payable, and works with Comptroller to source and deliver information on time and with high degree of accuracy including banking (cheque runs, deposits);
    • Purchases supplies/equipment as required, following set company procedures;
    • Works with Marketing department to secure outside rentals;
    • Administers tenant leases.
  4. Planning:
    • Attends staff/team meetings and conducts meetings with stakeholders as required;
    • Coordinates with facility team, housekeeping staff and contractors to ensure building is ready for scheduled events and performances;
    • Leads up and follows through re: event schedules, ensuring client-generated documents are processed to ensure smooth delivery of service, and appropriate resources are planned for (people, materials) working with TD and other designated team members;
    • Ensures that the building is reset between third party events/rentals working with TD;
    • Reporting any issues with employees, assets, health and safety and upkeep to ED; assists ED with budgeting/forecasts.
  5. Safe Workplace:
    • Works in adherence to all health and safety protocols and ensures direct reports and vendors do as well; assists in developing and implementing safety-related policies;
    • Assists team members with First Aid, fire, or other emergencies as outlined in the organizational plan; is one of our designated representatives at ActSafe;
    • Collects/files regulatory documents (i.e.: Liability insurance, Occupancy permits).
  6. People Management:
    • Plans for and leads shift briefings, providing direction to Visitor Services Associates, FOH team; follows up/evaluates assigned work; coaches staff as needed; ensures proper coverage for events, day-to-day operations, and other activities in the building;
    • Keeps up-to-date venue related employee files.

Qualifications:

While priority will be given to applicants with event management, hospitality and/or facility experience, we welcome applications from others who believe they will excel in this role and encourage you to apply if you recognize yourself in this position.

• Preferred 2-3 years in an arts-related environment in a similar capacity, preferably within a facility/venue and/or live event space, combined with experience or equivalent diploma/certificate;
• Demonstrates a curious nature combined with a strong desire to excel;
• The ability to model professional, positive, courteous and effective relationship with peers, partners and patrons/clients, with a business approach that prioritizes integrity;
• Strong attention to detail with the ability to retain a top-level perspective, ability to communicate effectively, with problem-solving/prioritizing skills; ability to stay calm, confident and positive in stressful situations, and make appropriate business decisions quickly;
• Strong written and oral communication skills (English); demonstrated experience in business accounting and business correspondence; customer service-oriented skills;
• Experience/understanding of human resources and recruitment; strong leadership and interpersonal skills with the ability to supervise, delegate, and train entry-level staff;
• Strong time management and organizational skills with the ability to work under pressure towards deadlines;
• Affinity for an inclusive, diverse and dynamic environment;
• Proficiency with computers (Microsoft 365, Adobe) with the ability to learn new software applications such as EventPro scheduling software;
• Must be Serving it Right certified;
• Understanding of the importance of health and safety procedures;
• Understanding of facility operations; communicate effectively with suppliers, trades;
• Ability to stand/walk for extended periods of time for the purpose of facility inspections, ability to lift/move up to 50lbs without difficulty;
• Excellent record of accomplishment with willingness to adapt and learn new skills;
• Flexibility in hours is periodically required to attend to evening or weekend events.

Remuneration:

Salary starts at $52,500-55,500 (based on experience).
