A Brief Overview

Reporting to one Administrative Hub Manager and taking direction from the other Administrative Hub Manager, the Undergraduate Program Advising Coordinator provides dedicated and centralized in-person front line academic support functions for undergraduate students within Faculty of Arts and Science Administrative Services Hub 1 while taking the lead for the Political Studies undergraduate programs and providing back up support to the other undergraduate programs within our constituent academic departments: Geography and Planning, Global Development Studies, Policy Studies, Political Studies, and Sociology. As a unified administrative services hub, we aim to foster greater collaboration, streamline our administrative processes, and enhance our overall efficiency and effectiveness.


As one of the Undergraduate Program Advising Coordinators, the incumbent is responsible for the undergraduate program in Political Studies, taking the lead in administrative support for curriculum, timetabling and room bookings for undergraduate courses; serving as a resource to faculty (>25) and students (≈800 plans) with questions regarding departmental policies and procedures; acting as primary resource to manage the process for enrollment and registration; monitoring student progress, implementing plans where appropriate, and communicating with individual students; facilitating website page updates and/or scheduling proctors; and providing back up support to faculty and students registered in the other undergraduate programs within the hub regarding departmental policies and procedures, enrollment and registration, and communicating with individual students.

Note: This position may require the incumbent to occasionally work flexible hours including evenings and weekends to accommodate special events and/or meetings.

This position coordinates the development of online and print marketing and/or participates in recruitment events to attract students to the undergraduate program. This position supports admissions, enrollment, and registration processes and is the academic advisor for undergraduate students. This position also serves as the main resource to faculty and students for departmental policies and procedures.
