Job description

Brandt is currently looking for a Training Centre Administrator (Temporary) in our Regina location.

Role Purpose Statement

As the Training Centre Administrator, you are part of a team dedicated to delivering an outstanding customer experience for employees, customers, and other visitors to Brandt's Regina Training Centre (RTC).

Immediate Priorities

  • Work primarily with the Training Centre Manager and others (e.g. Corporate Training, Executive Services) on scheduling training and events.
  • Work with the Training Centre Manager to ensure facility is able to host groups and events.
  • Work with the Training Centre Manager and in collaboration with others (e.g. trainers, corporate training staff, etc.) to work out logistics for events at the training centre and other training venues.
  • Support the Training Centre Manager in training scheduling, logistics, and as required reporting.
Major Accountabilities

Event Planning Support

  • Work with the Training Centre Manager and others (Corporate Training, Marketing, Executive Services, Management, etc.) on planning training centre events including employee training, customer fly-ins, product reviews, marketing events and photo shoots, manufactured products dealer training, and sales meetings.
  • Collaborate with Brandt Travel and others as required to plan and arrange travel (i.e. air, ground, and hotel) for those attending events at the training centre and other locations as required (e.g. arranging travel for technician training at branches).
  • Plan and organize event support including catering, badges, sign in, materials printing, audiovisual equipment (e.g. microphones, headsets), and materials distribution.
  • Assist the Training Centre manager in developing event costing and budgets by contacting vendors and gathering quotes.
  • Contact stakeholders and participants to assist with planning.
  • Be an active contributor to event planning by providing expertise and ideas and identifying potential issues and conflicts.
Event Scheduling Support

  • Work with the Training Centre Manager and Executive Services to ensure the effective and efficient use of the Training Centre by monitoring and reporting on utilization.
  • Communicate schedules to all stakeholders via shared calendars, email, etc. accurate and complete training schedules and event information.
  • Send Outlook invites with agendas, event details, and monitor responses.
  • Ensure the Training Centre calendar is accurate and complete by routinely publishing, updating and adjusting it as required.
  • Work with the Training Centre Manager to adjust the schedule to accommodate emerging priorities.
  • Advise stakeholders and participants of schedule changes in a timely manner.
  • Assist the Training Centre manager in scheduling vendors (e.g. catering, audiovisual support) for events.
  • Issue purchase orders and ensure vendors are aware of Brandt's accounts payable requirements.
  • Help ensure that other activities such as deliveries, maintenance, and cleaning do not disrupt events.
Event Implementation Support

  • Develop and communicate event details such as parking maps and agendas.
  • Work with others to ensure communications and materials meet current corporate brand guidelines.
  • Greet visitors and, when requested, facilitate tours of the Training Centre and other Brandt Regina locations.
  • Ensure training and event spaces are ready by confirming logistics, required technology availability, and participant lists.
  • Assist the Training Centre Manager in ensuring events proceed as planned by monitoring attendance, ensuring vendors are following the schedule and meeting their deliverables, and presenters and trainers are running on time.
  • Assist in event teardown by helping coordinate material, furnishing and machine movement, and people.
  • Utilize various corporate systems and equipment in implementing events such as Surface Hubs, conferencing software, multimedia systems, etc.
  • Help troubleshoot any problems as they arise (e.g. no shows, timing problems, connection problems, delivery delays).
Event Follow Up Support

  • Reconcile invoices and purchase orders.
  • Distribute and compile event surveys as required.
  • Distribute other post-event communications and information.
  • Ensure Training Centre is restored to order following all events by arranging for pick up of event furnishings, disposal of materials, and arranging cleaning.
Other

  • Support continuous improvement by acting on feedback and incorporating best practices like LEAN into planning, scheduling and implementing events.
  • Work with Training Centre Manager to ensure the Centre is maintained to a high standard by ensuring Brandt Developments is promptly contacted to correct any facility problems.
  • Be the point of contact for first aid supplies and services.
  • Provide basic onsite technical support by escalating problems to IT and others for resolution.
  • Maintain an up-to-date catalogue of permanent Training Centre assets including computers, displays, etc.
  • Keep track of temporary assets used in events, and ensure they are returned.
  • Ensure all company policies, procedures and directives are followed, particularly those related to expenses, travel, purchasing, marketing and communications, health and safety, and training.
  • Support efforts to analyse and respond to business needs.
  • Perform any additional work requested/required to meet the needs of the Regina Training Centre, customer support team, the human resources department, and Brandt and its locations.
  • Maintain accurate records of training activities, attendance, and evaluations.
