Position Type: Full-time, Monday – Friday (with occasional evening/weekend hours)
Job type: Temporary, Full time, 1 year contract
Salary: $32/hour

Position Summary
We are seeking a dedicated and organized Passport Coordinator to join our team on a temporary 1-year contract. This position plays a critical role in the successful implementation and administration of the Passport Funding Program. The ideal candidate will coordinate all aspects of the program, including administrative support, budget management, and relationship-building with individuals, families, and service providers.

Key Responsibilities:

  1. Program Coordination:
    • Conduct intake meetings, complete budgets and Passport plans, and match recipients with support staff.
    • Ensure compliance with MCCSS guidelines and assist families in navigating the program.
    • Review and process funding requests and maintain accurate records using relevant software.
  2. Budget Management:
    • Develop and manage individualized budgets, track expenditures, and provide financial reports to families and internal stakeholders.
  3. Relationship Management:
    • Build strong, positive relationships with individuals, families, caregivers, service providers, and other stakeholders.
    • Serve as the primary contact for program inquiries, addressing concerns and providing ongoing support.
  4. Program Development & Improvement:
    • Continuously assess and improve the Passport Program, staying informed of updates in developmental services and integrating them into the program.
  5. Compliance & Reporting:
    • Monitor fund usage, prepare claims, and ensure compliance with all program guidelines and funding regulations.
    • Prepare regular reports on activities, funding, and outcomes for management and stakeholders.

Qualifications:

  • Degree or diploma in Social Work, Human Services, Business Administration, or a related field.
  • 1-3 years of experience with the Passport Program or similar funding programs (preferred).
  • Strong knowledge of MCCSS Passport guidelines and legislation such as SIPDDA.
  • Knowledge of developmental disabilities and a commitment to person-centered care.
  • Proficient in Office 365, especially Excel.
  • Previous accounting or bookkeeping experience is an asset.
  • Excellent communication, interpersonal, and problem-solving skills.
  • Ability to work independently, prioritize tasks, and manage time effectively.

Working Conditions:

  • Occasional travel may be required.
  • Flexible working arrangements (community, office, remote).
