About the Position: We are seeking a skilled Technical Document Control Specialist to join our team. You will work closely with the Owner’s Team and external contractors during the FEED phase, ensuring the accuracy and organization of project documentation. Key responsibilities include managing document workflows, maintaining records, and liaising with third-party suppliers, as follows:
Responsibilities
- Oversee the seamless execution of Document Control operations throughout the project’s lifecycle.
- Establish Document Control requirements at project initiation, including setting specifications, processes, and deploying necessary tools and infrastructure.
- Manage and configure EDMS (electronic document management system) settings and permissions.
- Maintain master document registry (MDR) and distribution lists.
- Address project needs, generate reports, and resolve issues.
- Handle daily Document Control tasks such as preparing external mandates, logging and distributing documents, and conducting client turnovers.
- Ensure adherence to workflows, procedures, distribution lists, and quality assurance standards, maintaining data integrity and attribute quality.
- Train and support the project team, engineering team, external suppliers, partners, and clients in using document management systems.
- Assist the project team with additional tasks as needed, including list creation, printing, and formatting.
- Assist with establishing interfaces (procedures/methods) between external EDMS and ours.
Quality Control and Verification
- Act as the company’s liaison with the study contractor and any other relevant third-party suppliers within the document control discipline.
- Verify that all documentation aligns with project specifications, safety standards, and industry best practices.
- Ensure quality control of the study contractor’s documentation.
- Conduct thorough quality control checks on all project documents, ensuring compliance with project requirements.
Required Qualifications:
- At least 5 years of relevant experience or equivalent education and experience.
- Advanced computer skills, especially in Excel (handling large lists, V-Lookup, Pivot Tables, charts, macros) and Microsoft Office (Outlook, Word, Excel, PowerPoint, Visio, Power BI).
- Skilled in data preparation and graphical report creation.
- Excellent written and verbal communication skills.
- Detail-oriented with strong organizational and priority management skills.
- Strong leadership, initiative, and problem-solving abilities.
