JOB SUMMARY

The Tech Coordinator works with the operations team to manage print traffic, captioning, film ratings, and video exhibition needs for the Vancouver Queer Film Festival. This role also acts as a projectionist and technician during the festival.

This is a contract position for 30 hours per week, starting on June 3, 2025, and ending on September 26, 2025.

Compensation

This position will start at a salary/hourly wage of $25.86. This compensation is not negotiable as it reflects the current budget. Details about extended benefits and paid time off are available at the bottom of this posting.

Reporting

Reports to Piper Fawkes (they/them), Operations & Finance Director.

WORKING CONDITIONS

Schedule

• Standard hours are based on a 7.5-hour workday.

• Expected evening/weekend commitments as follows:

• ~2 events per month outside of the festival

• During the Festival, all staff are required to be available for 10 of the 11 days.

• Evening and weekend work is reflected in Out On Screen’s banked hour system; staff can take time in lieu to ensure a balanced work week with supervisor approval.

Physical Workspace

• Out On Screen is currently working in a hybrid format with selective work-from-home supports in place.

• Our office is located in Chinatown:

• Hot-desking via booking app

• Elevators up to unit

• 2 single-stall enclosed un-gendered washrooms on the same floor as our office

• All doors are unpowered and a minimum of 30” wide

• Our office is scent-reduced, but communal spaces are not

• A communicable disease plan in place and is available upon request

• Secure bike parking is available on site.

• The Vancouver Queer Film Festival will screen films in-person at event venues and cinemas throughout Vancouver, BC. These venues have a wide variety of accessibility features, all of which can be found on our website.

Vacation/Time Off

• 4% additional pay in lieu of vacation.

• Sixteen (16) paid health and wellness days each year, prorated for hours worked.

Additional Benefits

• Additional benefits include a $150 wellness fund.

Responsibilities:

• Accurately track exhibition materials and all print traffic details.

• Manage the tech component of entries platform to receive exhibition files from filmmakers/distributors.

• Prepare exhibition copy, including verifying captions, converting film files, preparing backup formats, uploading to streaming platforms for online screenings, preparing hard drives for venues, etc.

• Oversee the creation of captioned film files (as required) and conduct quality assurance on captioned files (timing, spelling, etc.).

• Oversee quality assurance testing of all exhibition formats.

• Manage film classification requests and approvals.

• Prepare and test all DCP playlists and QLab playlists.

• Visit all venues for screening tests before the festival.

• Troubleshoot any exhibition technical issues with venue staff or online hosting company (Cinesend).

• Support contract projectionists.

Qualifications:

Knowledge, Skills, Abilities

• Excellent attention to detail and accuracy in recording, tracking, and issuing information.

• Knowledge of new film exhibition platforms, mediums, and storytelling formats.

• Strong problem-solving and empathy skills.

• Proactive and comfortable with self-directing work and working with minimal direction, yet able to speak up and ask for help when needed.

• Works well on a team and is a team player as well as comfortable working on their own.

• Deadline-driven, capable of thriving in a fast-paced environment, managing multiple important deadlines and time constraints effectively.

• Proficient skills with MS Office Suite and Google Suite.

Training and Experience

• Experience with film projection, film post-production, or video editing strongly preferred.

• Experience working in customer service or technical support.

• Experience working with intersectional queer communities.

• An interest and experience in working toward social justice.

A valid BC driver’s license is helpful but not required for this position.

We expect this hiring process to follow these guidelines:

• A first round of interviews will be held via Zoom.

• Interviews are usually 60 minutes in length and will be held roughly between April 28, 2025, and May 9, 2025.

• Applicant updates will be provided ~1 week after interviews.

• Hiring decisions are made roughly a week after all interviews are complete.

• Ideal start is June 3, 2025, pending the availability of the candidate.
