Team Executive Assistant

How does the role impact the organization?

The primary role of the Team Executive Assistant is to support one of the high-producing Advisory teams ensuring the clients receive outstanding service. The position is responsible for scheduling and organizing meetings, running the office administration, servicing client requests, and ensuring quality service and professionalism at every client and partner interaction. The successful candidate must be client-service driven, self-motivated, and love to interact with clients.

This is a supportive team environment that promotes personal career growth. Drawing on previous experience as an Administrative Assistant or Executive Assistant in a financial services firm, or upon a degree/diploma within Business Administration, you must have meticulous attention to detail, possess a positive attitude, and have exceptional interpersonal skills. The successful candidate must also be responsible, confident, self-motivated, and a team player.

What is the position responsible for?

  • Providing support to two advisors on a fast-paced growing team.
  • Fostering and supporting client relationships by liaising with clients, responding to requests, and demonstrating proactive problem-solving.
  • Scheduling and organizing meetings, including preparation and coordination by booking the facility, pre-mail, arranging required equipment, refreshments, etc.
  • Managing paperwork, head office correspondence, and handling the account opening process for new clients.
  • Acting as the head liaison and air traffic controller of the team and oversight of CRM - Salesforce.
  • Preparing for client meetings and having all meeting prep ready from the team for the lead advisor.
  • Performing basic financial administrative duties including sending funds, address changes, client account agreement updates, and one-off documents.
  • Providing accurate, organized, and efficient administrative support; collecting and tracking data, researching information, sorting and distributing mail, balancing and processing expense reports, proactively managing calendars, creating and maintaining files, and performing other administrative assignments as required.
  • Handling incoming and outgoing phone calls with high-net-worth clients and responding to requests for information.
  • Being a proactive self-starter: carrying out special projects as assigned and independently researching, prioritizing, and following up on status.
  • Coordinating quarterly events remotely or in-person with between 10-100 clients.
  • Communicating internally with various operational and administration departments.
  • Assisting with social media content creation and team branding of media appearances such as BNN Bloomberg, Globe & Mail, CTV, etc.
  • Preparing expense reports, monthly budget reports, invoice processing, and purchase requisitions.
  • Assisting with all marketing initiatives including social media (Twitter, LinkedIn) and website content.
  • Growing and taking courses as required for regulatory purposes.

Qualifications

Knowledge, Skills, and Abilities

Knowledge of:

  • Basic fundamental investment concepts, practices, and procedures used in the securities industry.
  • Administrative processes and procedures.
  • Compliance practices and regulations.
  • CRM (Customer Relationship Management) software and maintaining/improving CRM databases is required.
  • Dataphile is an asset.

Skill in:

  • Microsoft Office with a willingness and ability to learn new applications.
  • Organization, prioritization, and exceptional attention to detail.
  • LinkedIn, Facebook, Twitter, YouTube, and Instagram.
  • Salesforce.
  • Customer service and problem-solving.

Ability to:

  • Work within deadlines in a high-volume and demanding environment while maintaining a high level of service and an imperative attention to detail.
  • Manage multiple deadlines and tasks.
  • Demonstrate advanced face-to-face, email, videoconferencing, and telephone etiquette and relationship management skills.
  • Work independently as well as collaboratively within a team environment.
  • Demonstrate a professional manner to establish and maintain effective working relationships at all levels of the organization.
  • Display flexibility and willingness to assist others as required.
  • Exercise tact and discretion in the handling of confidential information.

Educational/Previous Experience Requirements:

  • Post-secondary education.
  • A minimum of 1-2 years of industry-related experience.
  • Experience in the real estate, financial services, customer service, or hotel management industry is an asset.

Licenses/Certifications

  • Completion of the Canadian Securities Course (CSC) is an asset.
