Reporting to the Manager of Talent Acquisition, the Talent Operations Coordinator will be responsible for supporting the Talent Acquisition and Human Resources team with day-to-day activities and projects. We are seeking a self-starter who has exceptional administrative and organizational skills, with the ability to prioritize and execute within a fast-paced environment. In this role, you will gain experience with Human Resource and Talent Acquisition processes and systems and be involved in recruitment projects that will impact the organization. You will also be exposed to our Early Talent program and various campus programs and initiatives.
Responsibilities
Recruitment Process Management
- Manage the background check processes for the TA team and drive improvements for these processes. Ensure background checks are completed for all incoming employees including contingent workers, tracking and storing within M-files.
- Research recruitment best practices (eg. candidate experience) and relay back to team.
- Maintain Candidate Pools and Campaigns.
- Create interviewing training/best practice guides for hiring managers. Run new manager interview training support.
- Scheduling TA team meetings, book meeting rooms, record minutes and follow up on action items.
- Lead and support project initiatives across Talent Acquisition and Early Talent.
Systems Administration and Position Management
- Manage the position creation process within Workday in a timely and accurate manner, while keeping all parties updated on progress. Partner with HR, Finance, and other teams to ensure data accuracy.
- Collaborating with the Compensation team to ensure all incoming positions meet requirements and have appropriate approvals.
- Yearly position clean-up for positions past hire date.
- Statistics Canada - Job Vacancy and Wage Survey responses and follow-up.
- Systems administration and configuration support in conjunction with HRIS team.
- Documents details relating to roadblocks/issues with current business processes or HRIS system and recommend possible solutions.
Reporting and Analytics, Data Management
- Support with strategic initiatives and the overall recruitment cycle with new reporting and analytics methods.
- Bi-weekly recruiting update reports.
Document Management and Compliance
- Document management – audit for accuracy.
- Support with yearly audit of vendor agreements.
- Budget tracking and invoice reconciliation to ensure accuracy.
- Research and document changes to legislation as it relates to TA and make needed changes to any documentation or communications.
Event Coordination and Branding
- Support TA and ET events (in-person and virtual) by managing and coordinating logistics, attending the events both virtually and in-person (if possible), representing the QuadReal brand and partnering with internal team to ensure proper materials are in place.
- Support Coffee chat program (maintain Evergreen Sourcing postings, send invites, create events, drive social media content, etc.).
- Assist in posting jobs on LinkedIn, Instagram, university or college job boards, etc.
- Monitor Indeed Site and sponsored jobs.
- Increase presence on LinkedIn by posting or reposting articles, job posts, etc. at least once a week.
- Answering any Glassdoor/Indeed reviews as well as monitoring the careers email inbox.
Experience and Qualifications:
- 1-2 Years of experience within Human Resources/Talent Acquisition department is an asset.
- Previous experience with an Applicant Tracking System and HRIS (specifically Workday) is an asset.
- Proactive, self-starter, takes initiative without being directed.
- Proficiency with Social Media and marketing platforms.
- Advanced Excel skills, and Power BI other data analytics tools would be an asset.
- Post-secondary education in Human Resources or related discipline preferred.
- Exceptional interpersonal and relationship-building skills.
- Strong compliance and procedural mindset with safeguarding confidentiality.
- High attention to detail with strong organizational skills and time management abilities to prioritize projects and daily tasks.
The expected annualized base salary range for this role is $60,000 - $70,000.
The actual salary offered will take into consideration a wide array of factors including, but not limited to, the individual’s skill, experience, education and training, the market compensation of the role, and the consideration to internal equity.
