POSITION: Coordinator, Suites

DEPARTMENT: Hospitality – Premium Service

REPORTS TO: Manager, Suites

Position Summary

The position is the first point of contact and provides excellent guest service to suite holders for food and beverage ordering. The incumbent will coordinate all pre-event food and beverage orders for events at Rogers Arena and will coordinate the execution of these orders with the culinary team. The role is also responsible for management of the XDine online ordering portal and oversees all billing and payment requirements.

Essential Duties And Responsibilities

(Other duties may be assigned as required)

  1. Provide an exceptional ordering experience to suite owners and single games suite holders
  2. Manage special requests and special touches to elevate the attendees’ experience
  3. Establish strong relationships with suite owners and suite administrators
  4. Provide menu planning assistance for suite owners and single event suite holders
  5. Regularly communicate sales pace and special requests to Hospitality and Culinary leadership
  6. Identify VIPs and decision makers attending events
  7. Manage service recovery opportunities and communicate with Hospitality leadership to identify scenarios where recovery process needs to be elevated
  8. Review all orders for accuracy
  9. Input all post-event restocks, send final bills, and assist with any billing inquiries or billing disputes
  10. Assist with preparing all the paperwork, suite notes, labels, and signage for all games and events
  11. Oversee the Executive Suites Excellence Inspection Program with support from the Manager, Suites
  12. Supervise Suites Cashiers and provide on-site event instruction and guidance
  13. Provide training on standard operating procedures for new cashier team members
  14. Provide overall administrative support for the department
  15. Provide cross-departmental collaboration with all other areas within Canucks Sports and Entertainment.
  16. Contribute positively to the overall culture and involvement with CSE, the community, and our fans.
Required Experience And Qualifications

  1. At least two years of administrative experience in a related field
  2. Demonstrated knowledge of the Hospitality business and strong food and beverage acumen
  3. Proven ability to guide customers through the sales journey and provide opportunities for them to enhance their orders with suggested additions
  4. Proactive self-starter personality with the ability to stay one step ahead
  5. Professional temperament, including the ability to remain calm under difficult circumstances and to deal effectively with individuals at all levels
  6. Solid team player with an outstanding customer service focus
  7. Superior organizational and administrative skills and demonstrated attention to detail
  8. Exceptional verbal and written communication skills; strong editing and proofing abilities
  9. Proven time management skills, with an ability to effectively establish and execute priorities in a dynamic and changing environment
  10. Strong computer proficiency, including MS Office
  11. Ability to work flexible event-based hours, including evenings and weekends
