Reporting to the Student Accounts Manager, the Student Accounts Administrator provides back-office support within the Finance department, primarily to the Student Accounts Manager. This role is an integral part of the day-to-day operations of the Student Accounts unit. The Student Accounts Administrator has strong interpersonal skills, attention to detail and is well versed on the university’s Financial Policies and Procedures.

Responsibilities

  • Monitors and responds to emails to the Student Accounts email address. Assigning to staff within the department as necessary and providing timely feedback with accurate information to students and other individuals with inquiries.
  • Assists the Student Accounts Manager with updating daily fees assessments to accurately update student accounts on a timely basis.
  • Review of delinquent accounts and assists Student Accounts staff with follow-up.
  • Works between the following computer applications: Moneris, Student Billing, Financial Edge Cash Receipts module, Financial Edge Accounts receivable, Student Information System, Eventbrite, Shopify, and various other applications including Microsoft applications.
  • Assists in filling ATM when required and running daily reports.
  • Prepares Website and Online Calendar updates for review by Student Accounts Manager prior to publishing.
  • Driving to the University’s main banking branch 1-2 times each week for cash/cheque deposits.
  • Other Duties as Needed:
    • Prepare Auditor backup requests.
    • Assist in Archiving.
    • Gather backup to support Student Accounts Manager.
    • Assist in refunds if needed, i.e., application fees, IELTS.
    • Filing and other administrative tasks to assist the Student Accounts unit.
    • Provide vacation/absence coverage to the Student Accounts unit.
    • Assisting Director of Finance with ad-hoc administrative tasks when other finance staff is on vacation/leave.
Requirements

  • Bachelor’s degree, or post-secondary diploma in administration or accounting.
  • Min 2 years of related experience.
  • Knowledge of guidelines as communicated in the Academic Calendar.
  • Ability to multitask and work quickly with a high attention to detail. Includes ability to work with interruptions.
  • Capacity to work with a computer accounting program, without a great deal of Orientation.
  • Ability to perform basic to moderately complex calculations on a generic spreadsheet application, i.e., Microsoft Excel, Google Sheets.
  • Ability to communicate effectively, orally and in writing.
  • Demonstrates good interpersonal skills that enable them to get along well with others as well as dealing with difficult student inquiries.
  • Satisfactory Criminal Records Check results.
