Student Account Representative (Part-time)

SCOPE OF WORK: Performs general accounting functions associated with financial transactions and maintaining accounting and individual student accounts, as well as other aspects of accounts receivables. Serves the Welcome Center as the Student Account point person providing student accounts/payment policies. In support of the Welcome Center, provides customer service support to prospective and current students and staff with general inquiries regarding admissions, registration, and financial aid. Maintains student records and supports student success software such as Navigate. This position reports to the Assistant Bursar.


Accountabilities
  1. Performs front line customer service to students regarding all aspects of their financial account.
  2. Ensures that applicable students are briefed on the Online Payment Options. Processes and maintains documentation associated with the options.
  3. Contacts individuals by phone, email or mail to exchange information pertaining to the status of their financial accounts.
  4. Utilizes the Banner system, PC based electronic spreadsheets and word processing to perform assigned tasks.
  5. Keeps financial records, past due and current, and balances daily deposits and posts to Banner system.
  6. Requests payment on past due amounts by telephone contact, email and by generating dunning letters using computer software; works closely with System Office collections specialist.
  7. Works with Welcome Center staff to provide customer service support by answering general inquiries regarding admissions, registration and financial aid in addition to student account/payment policies.
  8. Works with other departments to resolve student queries as necessary.
  9. Assists with processes related to the Running Start program.
  10. Supports billing activity as requested by Supervisor; runs and manages statistical reports.
  11. Serves as backup for other staff members as required.
  12. Attends workshops, seminars, and conferences for professional development.
  13. Complies with all system, college, state and federal rules and regulations.
  14. Other duties as assigned.
Minimum Qualifications
Education: Associate’s degree from a recognized college or technical institute with a major study in accounting or business management. Each additional year of approved formal education may be substituted for one year of required work experience.
Experience: One (1) year of experience in bookkeeping, accounting, or auditing work. Each additional year of approved work experience may be substituted for one year of required formal education.
DESIRED QUALIFICATIONS: Strong written and oral communication skills; Experience in customer service, conflict resolution, computerized accounting systems, PC based spreadsheets and word-processing preferred.
PREFERRED QUALIFICATIONS: Strong knowledge and use of Microsoft Office, and best practices in customer service. Knowledge of college policy and procedures. Use of Banner, TargetX, and/or Navigate software.
RECOMMENDED WORK TRAITS: Knowledge of accounting principles and methods. Knowledge of office methods and procedures. Knowledge of computers and computer software. Ability to apply and adapt established methods to varied bookkeeping transactions. Ability to learn and adapt to changing dynamics with a positive growth mindset. Knowledge of modern office practices, procedures and equipment. Knowledge of office record keeping and reporting, including knowledge of or a willingness to learn new technology and software platforms as needed. Knowledge of the regulations pertaining to departmental programs. Knowledge of the principles and practices of college administration. Ability to gather, assemble, correlate and analyze facts and identify existing or potential problems. Ability to contribute to the development of sound operational procedures. Ability to exercise sound judgment in appraising situations and making routine decisions. Treating students, employees, and visitors with respect and integrity during all interactions. Ability to follow specific instructions in gathering facts, data, or resources in organizing required information. Ability to make decisions based upon fact-finding interviews within the parameters of the rules and policies of the college. Ability to meet with clients and appropriately explain programs and processes within the Student Service offices. Ability to present ideas clearly and effectively. Ability to establish and maintain effective working relationships with other employees and the general public. Must be willing to maintain appearance appropriate to assigned duties and responsibilities as determined by the college.
