Scope of Position
We are seeking a proactive and organized Staff Coordinator to join our dynamic Human Resources Team. Reporting directly to the HR Manager, you will play a pivotal role in ensuring the seamless operation of the Recruitment and Employee Relations functions of the HR Team. The Staff Coordinator will oversee the entire recruitment lifecycle, from sourcing, screening, and interviewing prospective candidates, to the onboarding and orientation of new employees. You will play a critical role in fostering positive employee relations by assessing and addressing Employee issues or inquiries and escalating urgent matters.
Major Responsibilities (This is not an exhaustive list of duties to be performed)
Recruitment Coordination
- Full-cycle recruitment and selection duties.
- Collaborate with hiring managers to define job requirements and create job descriptions.
- Post job openings on company website, job boards, and social media platforms.
- Update and manage job postings to attract qualified candidates.
- Maintain candidate database for current and future openings.
- Review resumes and applications to identify suitable candidates for hiring managers.
- Conduct initial phone screening and pre-interviews to assess candidate qualifications and suitability.
- Schedule and coordinate interviews between candidates and hiring team.
- Prepare and distribute interview guides and relevant materials.
- Facilitate interviews, take notes, and distribute information to hiring team post interview.
- Maintain regular communication with candidates and hiring managers.
- Conduct reference checks.
- Coordinate background checks and other required pre-qualifying processes, as necessary.
- Prepare and draft job offers for management review.
- Coordinate onboarding process with appropriate team members.
- Facilitate new employee orientation and applicable training.
- Maintain and grow recruitment HRM processes and system.
- Partner with team to improve recruitment process.
- Conduct exit interviews and analyze feedback.
Staff Coordination
- Serve as the primary contact for all staff related HR inquiries and concerns.
- Investigate and resolve employee complaints, grievances, and conflicts promptly and confidentially.
- Conduct thorough investigations into workplace issues such as misconduct or policy violations.
- Escalate instances of serious misconduct and policy violations.
- Provide guidance and support to employees and managers on employee relations matters, ensuring fair and consistent application of company policies and procedures.
- Assist in the communication of company policies and procedures.
- Maintain accurate and confidential employee relations records, documentation of investigations and resolutions.
- Provide backup support for payroll processing, ensuring accurate and timely completion of payroll tasks as needed.
- Additional HR support activities as requested.
- Other duties as assigned.
Required Knowledge, Experience, & Competencies
- Post-secondary education or an acceptable equivalent combination of education and experience. An educational focus on Human Resources is considered an asset.
- Completed, or working toward CHRP designation considered an Asset.
- 3-5 years’ experience in Human Resources.
- Must have a basic understanding of relevant Employment and Labour Laws and Regulations.
- Experience in full-cycle recruitment and employee relations.
- A valid driver’s license and access to a vehicle for business use.
- Exceptional communication, interpersonal, and conflict resolution skills.
- Ability to maintain confidentiality and to handle sensitive information with discretion.
- Ability and confidence to have difficult conversations.
- Exceptional written and verbal communication, and interpersonal skills.
- Must be comfortable working independently and in a team environment.
- Experience using HRM software (knowledge of ADP Workforce Now considered a strong asset).
- Strong administrative and organizational skills.
- Strong prioritization and time management skills.
- Excellent relationship building skills.
Hours of Work and Travel Expectations
- Regular hours of operation are Monday to Friday, from 9-5. There may be an occasional requirement to work outside business hours to meet deadlines.
- This is a hybrid role and will require an occasional onsite presence in our Stoney Creek office, as scheduled by the Immediate Supervisor. Details to be discussed.
- There may be a requirement for occasional travel to site locations and some of our other office locations across Ontario. Compensation for travel expenses is provided, as outlined in the Company Policy.

- Annual salary ranges from $60K to $70K, commensurate with qualifications and experience.
