PURPOSE
This onsite Raleigh NC office-based Senior Administrative Assistant role will support select senior leaders with business-related tasks and projects as well as lead activities that include oversight of the physical office environment and facilities. This position requires a high level of professionalism, discretion, and organizational skills with the flexibility to support multiple time zones, globally.
Essential Functions
- Leadership Support: Assist leaders with their daily schedules, appointments, and travel arrangements. Assist with preparations and edit correspondence, reports, and presentations.
- Office Management: Oversee the smooth operation of the office, including ordering supplies, maintaining equipment, and managing office space, badging system, and visitor logs.
- Communication: Manage information flow in a timely and accurate manner to include emails and postal mail, calendars, and other communications efficiently and professionally.
- Meeting Coordination: Schedule and coordinate meetings, conferences, and events. Prepare agendas, take minutes, and ensure follow-up on action items.
- Financial Administration: Expense reporting and invoice processing. Ensure compliance with financial policies and procedures.
- Data Management: Maintain accurate and up-to-date records, databases, and filing systems. Ensure confidentiality and security of sensitive information.
- Travel Arrangements: Coordinate travel plans, including booking domestic and international flights, accommodations, and transportation. Prepare travel itineraries and ensure arrangements are cost-effective.
- Documentation: Prepare and proofread documents, ensuring accuracy and completeness. Manage document storage and retrieval systems.
- Customer Service: Provide exceptional customer service to clients, visitors, and staff. Address inquiries and resolve issues promptly and courteously.

Required Experience & Education
- Education: A Bachelor's degree in Business Administration, Office Management, or a related field or equivalent relevant work experience.
- A minimum of 5 years of experience in administrative support roles, with at least 2 years in a senior or executive assistant position.
Preferred Experience & Education
- Working across multiple time zones including international
Physical Requirements:
- Work is performed in a normal office setting with minimal exposure to health or safety hazards. Prolonged periods of sitting at a desk and working on a computer.
- 10-25% Travel may be required, may include international.
- Moderate lifting/carrying 15-44 lbs; use of fingers; walking/standing 2-6 hours.
- Exposure to hazardous materials or various weather conditions.
- Travel to client sites that can pose risk associated with healthcare organization.
- May be required to follow customer location health and safety requirements.

The starting pay range for a candidate selected for this position is generally within the range of $50,000- $65,000 for annual base salary. The successful candidate’s actual pay will be based on numerous factors, such as work location, qualifications, and experience, so the actual starting pay may be above or below this range.
