Job Title: Receptionist and Social Media Manager

Job Type: Full-Time / Part-Time

We are a client-centered business passionate about providing outstanding service both in-person and online. We’re looking for a dedicated and proactive Client Experience Coordinator to join our team! This role is perfect for a self-starter who enjoys creating memorable client experiences, is adept at managing multiple tasks, and can work independently while keeping up a welcoming and organized environment.

Key Responsibilities:

Client-Facing Responsibilities (Daily In-Person)

  • Client Interaction: Greet each client warmly and ensure they feel comfortable and valued throughout their visit. Assist clients with questions and provide exceptional service at every touchpoint.
  • Appointment Management: Answer incoming calls to book, rebook, or reschedule appointments, handling inquiries independently and coordinating changes as needed.
  • Checkout Process: Manage client checkouts efficiently, ensuring accurate payment processing and a smooth final impression. Offer refreshments and attend to additional needs to make clients feel at ease.
  • Appointment Follow-Up: Proactively call clients to confirm upcoming appointments or handle rescheduling requests as necessary.
  • Google Reviews: At checkout, encourage clients to leave Google reviews to help us continually improve and build our reputation.

Daily & Weekly Responsibilities

  • Client Communication: Respond to emails, online reviews, and social media messages promptly, providing thoughtful replies to client inquiries and comments.
  • Social Media Interaction: Engage with our online community by responding to DMs and comments. Capture moments by taking high-quality photos and videos of our services and products, sharing our brand’s story.
  • Content Creation: Develop content ideas, draft posts, and manage Instagram stories and feed to keep our audience informed and engaged.
  • Order Fulfillment: Handle Shopify orders independently, ensuring accurate processing, packaging, and timely dispatch of all client orders.
  • B2B Outreach: Connect with B2B partners for wholesale opportunities, handle inquiries regarding room rentals, and maintain clear communication with all stakeholders.
  • Email Marketing: Plan, create, and send monthly email newsletters with promotions, updates, and content that resonates with our clientele.

About You:

  • Independent Worker: You’re able to take initiative and handle a variety of responsibilities without needing constant guidance. You have strong time-management skills and can independently prioritize tasks.
  • Client-Focused: Your excellent interpersonal skills and warm demeanor make clients feel welcome and valued.
  • Tech-Savvy: Familiar with social media platforms, email marketing tools, and Shopify, and confident with basic photo and video content creation.
  • Reliable and Professional: Punctual, trustworthy, and adaptable, you approach each task with a positive, can-do attitude and maintain professionalism in all interactions.

Qualifications:

  • Prior experience in client-facing roles is preferred.
  • Familiarity with social media management, particularly Instagram, and basic photo/video skills.
  • Excellent communication skills and attention to detail.
  • Ability to multitask and work independently with minimal supervision.
