About the workplace

As a Senior Executive Assistant to the CEO, you'll be a key partner and trusted advisor, ensuring the smooth operation of the CEO's office. You'll act as a vital liaison between the CEO, our organization, the board, and the communities we serve. Your proactive support will foster collaboration, drive effective communication, and enable seamless operations. Additionally, you'll build and nurture relationships with internal teams and external stakeholders while engaging the executive administrative team.

This role is a 22-month contract that will be fulfilled primarily onsite at the Vancity head office location 4 –5 days a week, with some flexibility for remote work as needed.

A typical day would involve:

  • Anticipating needs, providing timely updates, and managing all administrative support functions for the CEO, including triage and exchange of information, management and prioritization of calendar and meetings, drafting emails or messages, budget preparation, expense management, coordination of travel arrangements, and preparation and distribution of various materials.
  • Liaising and building relationships with internal and external stakeholders (including members, the Board, regulators, community/business leaders, partners, and the general public) to support the leadership engagement and advocacy work of the CEO in the broader community and in driving Vancity’s agenda forward.
  • Planning, coordinating, and executing high-profile events, member engagements, and senior leadership-related events to enhance visibility and influence within the industry and the local community to drive Vancity’s strategy and vision forward.
  • Collaboratively organizing, coordinating, and participating in the Executive Leadership Team Meetings that enable effective strategic dialogue and decision-making processes while tracking follow-up or action items if necessary.
  • Managing changing priorities and responding quickly to emerging issues, using sound judgment to assess the urgency and importance of issues requiring the attention of the CEO and the Executive team, while effectively managing meetings that optimize the CEO’s capacity.
  • Communicating and working collaboratively with internal teams to support the CEO in delivering the organizational strategy and values.
  • Providing oversight and guidance on best practices to the executive administrative team to enhance service support levels to our executives and senior leaders.
  • Facilitating quarterly executive assistant team meetings that allow for team connection, timely updates, and a platform for discussion to allow for seamless executive and senior leader-level support.
  • Providing support and insight in assessing and mobilizing executive assistant support requirements based on the needs of the executive team.
  • Supporting the CEO in building a strong personal corporate brand by coordinating and monitoring social media presence, coordinating thought leadership opportunities, and speaking engagement opportunities that align with Vancity’s strategic priorities and vision of the future.
  • Other duties as assigned.

You have:

  • 5+ years of relevant experience as an Executive Assistant or similar administrative role. Experience in supporting C-level executives is an asset.
  • Prior experience communicating effectively with leaders.
  • Intermediate to advanced organization and prioritization ability.
  • Intermediate to advanced knowledge and application of Microsoft Office suite products.
  • Exceptional communication skills, both written and interpersonal, with a demonstrated ability to draft clear, professional correspondence and effectively engage with internal/external stakeholders.
  • Experience planning and executing high-profile events.
  • An interest in technology trends, an openness to learning new tools, and adapting how you work.
  • Ability to handle sensitive and confidential information with discretion.
  • Advanced ability to multitask in a fast-paced environment.
  • Highly proactive approach to problem-solving, while seeking out opportunities to identify efficiencies.
  • Lead and advise cross-functional teams on projects related to the CEO office or executive team.

The salary range for this role is $71,500 to $107,300 annually. Base pay offered may vary depending on factors such as relevant qualifications, skills, previous experience, and internal equity. As part of our total rewards package, employees may also be eligible for our annual incentive program, subject to program eligibility requirements.
