The Law Society of BC is seeking a permanent, full-time Senior Executive Assistant in our Office of the CEO department. The Senior Executive Assistant (SEA) brings superior interpersonal, organizational, and time management skills to support the Executive Director/Chief Executive Officer, Chief Operating Officer and the President, as well as the Senior Advisor when required. The SEA is expected to exercise initiative, discretion, and judgment in carrying out the position’s functions. The SEA needs to be a resourceful, accomplished problem-solver who can handle confidential and time sensitive material while juggling multiple and changing priorities while remaining professional at all times.
Duties and Responsibilities
- Managing office processes and information flow by screening and prioritizing incoming requests, email, mail and telephone calls, flagging priority and urgent matters and directing routine matters to other staff.
- Managing the ED/CEO’s and President’s calendar and commitments through careful planning, communication and coordination to maximize time management and ensure all deadlines are met.
- Coordinating and prioritizing meetings with government officials, business leaders, regulatory bodies and other key stakeholders.
- Drafting correspondence based on a careful review of documents, information and notes provided.
- Proofreading, editing and formatting draft correspondence prepared by other staff for the ED/CEO’s and President’s signature.
- Anticipating information needs and compiling information packages for meetings, conferences, appointments, etc.
- Coordinating travel arrangements and ensuring they comply with Law Society policy and the ED/CEO’s and President’s preferences.
- Liaising with senior staff to ensure appropriate information/briefing materials are prepared for the ED/CEO on key issues and maintaining a high level of confidence and credibility with those staff that interact with the ED/CEO and President.
Qualifications
- A post-secondary diploma in a relevant discipline and five years of administrative experience in a complex office environment or an undergraduate degree in combination with three years of experience in a complex office environment is required.
- Experience supporting top-level executives with strong word processing, communication, scheduling and executive level office management skills.
- The position requires proficiency in the use and support of information technology and systems (particularly Word, Adobe Acrobat, and Excel), confidence and familiarity with the use of virtual meeting technology (e.g., Zoom), excellent oral and written communication skills, and strong attention to detail and multi-tasking ability.
The salary range for this position is $77,543 to $84,286.
