JOB DESCRIPTION

Wood is recruiting for a Senior Document Management Technician to join its OGNE business in Canada. This opportunity is hybrid and will be based in Calgary, AB.

This role is responsible for providing document management support to projects by processing and issuing project deliverables on behalf of Wood disciplines, clients, suppliers, and contractors. The selected candidate will ensure compliance with document management procedures and project requirements while supporting remote teams across multiple locations.

RESPONSIBILITIES

  • Provide DM support to projects by processing / issuing project document deliverables on behalf of Wood disciplines, the client, suppliers and contractors in a timely manner
  • Project Document Management processing
    • Review submitted documents for adherence to non-technical requirements
    • Process/Issue documents following Wood DM processing workflows/instructions/checklists
  • Review client project specifications / standards and current Wood procedures to ensure proper understanding
  • Provide guidance/support to project staff in local and remote locations with processing and ensuring client DM requirements are understood and followed
  • Process project deliverable documents using the Wood and/or Client project EDMS (Electronic Document Management System)
  • Ensure document control function is being performed in accordance with project procedures and requirements
  • Review client project specifications / standards and current Wood procedures to ensure checklists and processes are aligned
  • Provide support in all aspects of migrating project work to remote offices, including procedure updates, training, guidance to staff, and resolving local project challenges
  • Assist in managing/coordinating project document management close-out and turnover.
  • Liaise, on an ongoing basis, with internal and external clients on matters pertaining to document management.
  • Prepare DMG reports (audits/status/progress) as needed.

Additional Tasks and Responsibilities
  • Support the Project Information Manager as and when required.
  • Strong interpersonal, problem solving, conflict resolution and negotiation skills
  • Demonstrated ability to make decisions
  • Proactively identify, for PIM resolution, any critical issues associated with DMG work scope, schedule, cost or quality.
  • Take responsibility for both self and team's decisions/actions
  • Seek input from others for clarification, when required
  • Highly self-motivated
  • Has ability to resolve minor staff/team issues
  • Motivate, inspire and instill confidence in others
  • Participate, initiate and/or drive process improvements
  • Ability to work independently

Expected:
  • 10-15 years of experience in document management within major projects
  • 5-10 years of experience documenting work processes
  • Strong experience using Electronic Document Management Systems (EDMS)
  • Ability to oversee and train remote office locations on document control procedures
  • Strong computer literacy and prior data entry experience
  • Ability to multitask and meet deadlines in a fast-paced environment
  • Excellent organizational and communication skills

Desirable:
  • Experience in workflow creation and process optimization
  • Prior experience supporting energy transition or renewables projects
